Purchase Executive

Key Responsibilities

· Book purchase bills, direct expenses, debit notes and credit notes accurately and within defined timelines.

· Process and record indirect expenses including AMC, staff welfare, legal and professional fees, and office expenses.

· Prepare vendor payment lists based on outstanding balances and agreed credit periods.

· Maintain and update vendor-wise payment priority reports on a weekly basis.

· Prepare MSME vendor payment reports and monitor payments within applicable timelines to minimize interest liability.

· Prepare advance payment vouchers against Purchase Orders and Work Orders.

· Maintain and monitor open advances where invoices are pending and follow up with concerned departments/vendors.

· Prepare monthly purchase summaries department-wise.

· Perform GSTR-2B reconciliation with purchase records and follow up for pending/missing invoices.

· Conduct vendor ledger reconciliation and resolve discrepancies.

· Maintain month-wise invoice documentation and filing.

· Coordinate for vendor creation and vendor master updates in ERP as per company requirements.

· Prepare party outstanding and advance payment reports division-wise.

· Handle timely bill booking for purchase, contracts, hiring, leasing, administration, transportation, diesel and insurance-related expenses.

· Prepare MSME interest calculations/workings as required.

· Provide necessary support and documentation for quarterly and other statutory/internal audits.

· Coordinate with vendors and internal departments regarding invoices, outstanding payments, reconciliations and supporting documents.

· Ensure compliance with company accounting policies and defined timelines.
