ROLES & RESPONSIBILITIES

 

Officer –Finance & Accounts is responsible for facilitating the delivery of Ignify’s goals through-

 

·      Preparing Budgets: Develop and prepare annual budgets in collaboration with relevant departments, ensuring alignment with organizational goals. Monitor and track budget performance against actuals, providing insights and recommendations for improvements.

·      Processing Invoices: Efficiently process high-volume invoices, ensuring accuracy, proper coding, and timely approvals. Collaborate with internal teams to resolve any discrepancies and ensure adherence to company policies.

·      Handling Accounts Payable and Receivable:  Manage accounts payable and receivable functions, including timely invoicing, payment processing, and reconciliation. Monitor outstanding balances, resolve discrepancies, and maintain positive relationships with vendors and clients.

·      Maintaining Financial Records: Maintain accurate and up-to-date financial records, including ledgers, journals, and supporting documentation. Ensure compliance with accounting standards and regulatory requirements.

·      Preparing Financial Reports: Generate comprehensive financial reports, statements, and summaries. Provide key financial insights to support decision-making processes. Contribute to the monthly and annual financial reporting cycles.

·      Reconcile Bank Statements: Briefing: Reconcile bank statements regularly to ensure accuracy and identify any discrepancies. Investigate and resolve any discrepancies promptly.

·      Complying with Regulations: Stay informed about relevant financial regulations and ensure compliance with accounting standards, tax laws, and other statutory requirements. Implement changes as needed to maintain compliance.

·      Contribute to Financial Audits: Assist in the coordination and execution of financial audits. Provide necessary documentation, liaise with auditors, and address audit findings to ensure a smooth audit process.

·      Preparing Balance Sheets: Prepare accurate and detailed balance sheets, showcasing the financial position of the organization. Ensure that all assets and liabilities are appropriately recorded.

·      Analyze Financial Trends: Conduct in-depth analysis of financial trends, variances, and key performance indicators. Provide insights to support strategic decision-making and financial planning.

·      Conducting Financial Transactions: Execute various financial transactions, including processing payments, recording journal entries, and managing cash transactions. Ensure accuracy and compliance with internal controls.

·      Conducting Internal Audits: Perform internal audits to assess and enhance financial controls. Identify areas for improvement and implement corrective actions to strengthen internal processes.

·      Managing Records and Receipts: Maintain organized and secure records of financial transactions, receipts, and supporting documentation. Facilitate easy retrieval during audits or as needed.

·      Prepare Budget Forecasts: Collaborate with management to prepare budget forecasts, considering market trends and organizational goals. Provide recommendations for budget adjustments as needed.

·      Providing Customer Service to Clients: Respond to client inquiries, provide assistance with account-related matters, and ensure a positive customer service experience. Build and maintain strong client relationships.

·      Review and Implement Financial Policies: Regularly review financial policies and procedures. Implement updates as necessary to enhance efficiency, accuracy, and compliance with industry best practices.

·      Contacting Clients About Transactions and Invoices: Proactively communicate with clients regarding transactions, invoices, and payment-related matters. Address client queries promptly and professionally.

·      Ensure Timely Bank Payments: Oversee and facilitate timely bank payments, ensuring adherence to payment schedules and managing cash flow efficiently.

·      Handling Queries Related to Accounts: Address internal and external queries related to accounts, providing timely and accurate information. Collaborate with relevant stakeholders to resolve issues.

·      Manage All Accounting Transactions: Oversee and manage end-to-end accounting transactions, ensuring accuracy, compliance, and timely recording in the financial system.

·      Preparing Month-End Reports: Compile and prepare comprehensive month-end reports, summarizing financial performance and key metrics. Provide analysis and insights to support management decision-making.

·      Preparing Statements: Prepare financial statements, including income statements, cash flow statements, and other relevant reports. Ensure accuracy and compliance with accounting standards.

·      Processing Payments: Process various payments, including vendor payments, employee reimbursements, and other financial obligations. Verify accuracy and obtain necessary approvals.

·      Resolving Accounts to the General Ledger: Reconcile accounts to the general ledger to ensure accuracy and completeness. Investigate and resolve discrepancies promptly.

This Finance and Accounts Officer role requires a detail-oriented individual with strong analytical skills, a thorough understanding of accounting principles, and the ability to work collaboratively with cross-functional teams.

 

·      REPORTING

 

-Prepare weekly reports and discuss the same

-Prioritise monthly and quarterly plans to explore new possibilities.

-Office Timings: 9 AM to 6 PM (Monday to Friday)

                            9 AM to 1 PM (Saturday)

 

·      SKILLS & IMPROVEMENT

 

-Educate about the Lighting Science and control procedures.

-Build Customer rapport through support functions

-Market Intelligence

-New Business Development

-Equip/Train and apply various management/accounting tools like SAP Business One, Tally ERP, Zoho One etc., in day-day functions for the betterment of the self and the company.
