Designation:Admin Executive

Position Overview:
The Admin Executive provides administrative support to the Director by preparing reports, handling information requests, and performing various administrative tasks. The Senior Admin Executive ensures that the Director’s time is effectively managed, operations run smoothly, and communication is efficient. The ideal candidate will have strong communication skills, a high degree of professionalism, and the ability to handle confidential information with discretion, managing calendars, travel arrangements, and facilitating meetings.

Key Responsibilities:

· Oversee and coordinate day-to-day administrative tasks, ensuring smooth office operations.

· Maintain a well-organized office layout, ensuring equipment and supplies are readily accessible.

· Manage office space, seating arrangements, and workstations to accommodate team needs.

· Oversee office facility maintenance, coordinating with building management for repairs and upgrades.

· Implement security protocols and manage office access control systems.

· Act as the primary point of contact for assigned accounts, addressing inquiries, resolving issues, and ensuring client satisfaction.

· Collaborate with internal teams, including production, sales, marketing, warehouse, and product development, to align strategies and deliver exceptional service.

· Prepare correspondence, reports, documents, and presentations as needed.

· Handle confidential documents and sensitive information with discretion.

· Prioritize and manage multiple tasks and projects with minimal supervision.

· Act as a liaison between the executive and internal/external stakeholders.

· Screen and direct phone calls, emails, and other communications.

· Organize and maintain files, ensuring timely follow-up on various issues.

· Prioritize and manage multiple calendars, ensuring all commitments are met.

· Plan, schedule, and coordinate meetings, events, and conferences.

· Take detailed minutes during meetings and follow up on action items.

· Arrange travel itineraries, including flights, accommodation, and transportation.

· Assist with special projects, ensuring timelines are met and goals are achieved.

· Collaborate with vendors and suppliers to negotiate contracts and ensure timely delivery of goods/services.

· Monitor vendor performance and manage relationships for office operations.

· Facilitate smooth communication within the office and between departments.

· Ensure phone systems, email, and other communication tools function properly.

· Collaborate with the IT department to maintain functional computer systems, networks, and software.

· Provide basic IT support for office staff and resolve issues when necessary.

· Coordinate with advocates and follow up on legal matters.

· Coordinate with concerned departments for renewal of Trade License, FSSAI, Labour, Weight & Measures, and BESCOM.

· Follow up for rents from tenants.

· Follow up with Classic for interest.

· Property paper updates like E-Khata.
