Job Summary
We are seeking a highly organized and detail-oriented Operations & Documentation Executive to manage day-to-day office operations, domestic and export documentation, regulatory compliance, and business correspondence. The candidate will play a critical role in ensuring smooth execution of trading and export transactions, timely documentation, and coordination with customers, vendors, logistics partners, banks, and government authorities
Key Responsibilitie
1. Documentation & Correspondence.
Draft and manage quotations, proforma invoices, commercial invoices, purchase orders, agreements, and contracts
Handle all business correspondence via email, WhatsApp, and telephone
Maintain records of customer inquiries, orders, and transaction status
Prepare presentations, reports, and management MIS
2. Export Documentatio

Shipping Instruction
Certificate of Origin application
Phytosanitary documentation (where applicable
LUT-related documentatio
Export declarations and customs documentatio
Coordinate with CHA, freight forwarders, shipping lines, and customers
Track shipment status and maintain export records
3. Domestic Trade Documentatio
Generate quotations, sales orders, delivery challans, and tax invoices
Coordinate dispatches and transportation arrangements
Generate E-Way Bills and maintain dispatch records
Coordinate with suppliers and customers regarding deliveries
4. Accounts & Compliance Suppor
Prepare and upload sales and purchase entries in Tally
Reconcile invoices, vendor payments, and customer receivables
Coordinate with CA for
GST filing
TDS complianc
Annual compliance
Maintain proper documentation for audits and assessments
5. Logistics & Operations Coordinatio
Coordinate with transporters, warehouses, customs agents, and freight forwarders
Monitor shipment schedules and delivery timelines
Maintain inventory and stock movement records wherever required
6. Administrative Responsibilitie
Maintain digital and physical filing systems
Manage office records and documentation
Support management in day-to-day operational activities
Follow up with clients, suppliers, and service providers
Desired Skill
Strong drafting and communication skills
Proficiency in MS Excel, Word, Outlook, and PowerPoint
Knowledge of Tally Prime
Understanding of GST, E-Way Bill, and invoicing procedures
Knowledge of export documentation and logistics processes
Strong organizational and multitasking abilities
Attention to detail and compliance orientation
Qualification
Graduate in Commerce, Business Administration, Logistics, or related field
Additional certifications in Export-Import Management will be an advantage
Experienc
2–5 years experience in Trading, Export, Logistics, Accounts, or Operations
Experience in handling export documentation and GST processes preferred
