The Accountant-cum-Admin Manager will be responsible for day-to-day financial management, statutory compliance, and administrative operations of the housing society. The role supports the Treasurer / Secretary / Managing Committee in ensuring transparent accounting, regulatory adherence, and efficient society management.
Education
Bachelor’s degree in Commerce (B.Com) / M.com.with good knowledge/ communication skills both written verbal in English. Computer skills and ability to respond to mails is a must.
Experience
3–7 years experience in:
Housing society / property management
Accounting & administration
Experience with co-operative societirs
Skills
Strong accounting knowledge (Tally / accounting software)
Understanding of MCS Act and housing society bye-laws
Good documentation and record-keeping ability.
Communication and coordination skills
Basic legal and compliance awareness
Key Responsibilities
1. Accounts & Finance
Maintain complete books of accounts (Cash Book, Ledger, Bank Reconciliation)
Generate and manage monthly / quarterly / annual maintenance bills and other charges that are decided to be collected from residents from time to time.
Track collections and follow up with defaulters
Maintain society funds:
Sinking Fund
Repair & Maintenance Fund
Reserve Fund
Prepare:
Monthly financial reports
Annual financial statements for audit
Coordinate with statutory auditor and ensure audit readiness
Ensure all financial transactions are properly recorded and documented
2. Statutory Compliance (MCS Act & Bye-laws)
Maintain mandatory registers:
Member Register (I & J Register)
Share Register
Nomination Register
Ensure timely:
Audit compliance
Filing of returns with Registrar
Maintain minutes books and statutory records
Support AGM / SGM compliance requirements
3. Administration
Implement resolutions passed by the Managing Committee
Maintain society records, files, and documentation
Handle official correspondence and notices
Liaise with:
Registrar office
Government authorities.
Legal and audit professionals
4. Meeting Coordination
Prepare notices, agendas, andj documents for:
Managing Committee meetings
AGM / SGM
Record and maintain minutes of meetings
Track action points and follow-ups
5. Member & Communication Management
Address member queries and complaints
Maintain updated member database
Process resident request for
Property Transfers/ sale purchase
Issue / draft Multiple types of NOCs (as per committee approvals)
Verifying Rental agreement & police verification report
Collect move in move out charges from tenants.
Process resident request for renovation of flats and collect refundable deposits and keep accounts
Act as a communication link between members and the
Managing Committee
