Job Purpose:
Looking for a sharp, proactive, and self-motivated B.Com graduate to handle departmental accounts (70%) and logistics/warehouse stock coordination (30%). You will be the process enforcer ensuring tight paperwork control, timely insurance tracking, and compliance from the warehouse team.
Key Responsibilities
1. Accounts, Inward/Outward & Documentation (70%)
Bookkeeping & Documentation: Maintain accurate accounting entries, vouchers, and paperwork for the machinery department.
Purchase & Sales Inward/Outward: Handle stock inward for Import Purchases and both inward/outward documentation for Local Purchases.
Compliance & Logistics Paperwork: Generate E-Way Bills for Import Purchases (Bond Transit) and Sales Invoices.
Transit & Insurance Ownership: Take complete lead of all transit paperwork. Coordinate with the team for taking transit insurance and draft timely emails for insurance purposes to ensure execution on time.
Repair Records: Maintain records of repairable parts and machines received from customers.
2. Stock Management, Warehouse & Logistics Coordination (30%)
End-to-End Stock Tracking: Keep tight, end-to-end track of machine and spare stocks to avoid operational delays; generate monthly stock reports.
Physical Verification & Audits: Conduct a mandatory monthly warehouse visit to physically count, track, and verify machines and spares. Compare actual physical counts against computer system records to resolve missing, damaged, or excess items.
Warehouse Authority & Communication: Communicate assertively with the warehouse team to ensure stock is organized, easy to locate, in good condition, and that documentation protocols are strictly followed.
Dispatch & FIFO Allocation: Assign machine serial numbers for dispatch applying the First-In, First-Out (FIFO) method to minimize waste/aging.
Damage & Survey Coordination: In case of transit damage, coordinate effectively with insurance surveyors and schedule damage audits.
Exhibition Logistics: End-to-end coordination with the logistics team for the packing and arrangement of exhibition machines.
Requirements & Core Skills
Education & Experience: B.Com / Accounting degree with 2–5 years of experience in basic bookkeeping (preferably in trading, manufacturing, or logistics setups).
Technical Skills: Proficiency in ERPs (Tally/SAP), MS Excel, and the ability to read, analyze, and understand stock data.
Communication: Excellent written and verbal communication skills; ability to draft clear professional emails independently.
Traits: Self-motivated with a high level of confidence to manage warehouse staff, excellent organizational and time-management skills, and the ability to multi-task independently.
