Job description for Accounts and Admin executive
1.Billing and Invoicing
· Prepare Quotation, Proforma Invoice, Purchase orders.
· Support in verifying and processing supplier/vendor bills.
· Documentation of files for all invoices and supporting documents.
2. Claim verification and processing
· Receive and review employee claims forms with supporting bill and approvals.
· Check Accuracy and compliance with company reimbursement.
· Verify supporting documents such as travel tickets, hotel bills, taxi receipts, and food bills
· Identify and resolve discrepancies or missing information in claims.
3. Accounting
· Enter approved claims in the accounting.
· Post journal entries and maintain claim related ledgers.
· Record reimbursement under the correct expense leads.
· Reconcile employee claim accounts and maintain up-to date balances.
4. Payments and reimbursement coordination.
· Track pending Reimbursement and ensure timely processing.
· Maintain communication with employees regarding claim status and clarifications.
5.Documentation and Record Maintenance
· Maintain physical and digital records of all employee claims forms, receipts and approvals.
· Ensure all claims and properly authorized before processing.
· Support internal and statutory audits by provided claim related data.
6. Vendor management
· Assist in developing and maintaining a vendor database with updated contact and product details.
· Follow up with vendors for order confirmation and delivery
· Submit regular updates on pending orders and material status to management.
7. Documentation and compliance
· Maintain proper documentation of all procurement activities
Software skills
· Basic knowledge of accounting and reimbursement policies.
· Proficiency in MS Excel and accounting software Zoho books.
Organisational and administrative skills
· Time management handling multiple deadlines efficiently.
· Prioritization Managing workload effectively during busy periods.
· Customer service- dealing politely with clients and supplier.
Analytical and Numerical skills
· Attention to detail- spotting errors and ensuring data accuracy.
· Numerical accuracy-Comfort working with figures and calculations.
Educational background
· Qualification- B.com background
· Willingness to learn-Staying updated with accounting software.
· Experience- 0-1yr.
