Accounts Executive – Admin
The Accounts Executive – Admin is responsible for managing day-to-day accounting entries (purchase, sales, bank transactions) alongside critical administrative tasks (purchase orders, quotations, proforma invoices), while supporting business operations and basic coordination with engineers and other internal teams. This role ensures smooth financial processes, compliance, and aids efficiency in the company’s IT sales and service environment.
Record all purchase, sales, bank, and cash transactions promptly in accounting software.
Process vendor and client invoices, payments, and expense reports accurately.
Prepare monthly/quarterly financial statements and reconciliation reports for audits and management review.
Ensure compliance with GST, HSN codes, and internal accounting policies applicable to computer hardware and services.
Prepare and manage purchase orders, quotations, proforma invoices, and other business documents as required for sales and service activities.
Liaise with suppliers and clients to resolve queries and facilitate transactions.
Provide administrative support such as document management, filing, record keeping, and office supply management.
Coordinate with engineers and technical staff for workflow alignment, project progress updates, and seamless service delivery.
Assist in bank reconciliation, monitor cash flow, and follow up on receivables.
Support the management team in budget preparation and forecasting.
Organize meetings, schedule travel, and assist with onboarding of new staff members.
Maintain confidential files and records as per organizational protocols.
Bachelor’s degree in Commerce, Finance, or Business Administration.
2–4 years of experience in accounting or finance, preferably in IT hardware/service industry.
Proven administrative support experience and familiarity with business documentation for sales/service processes.
Proficiency in accounting software Tally, CRM Application and Microsoft Office Suite.
Knowledge of GST, HSN codes, and compliance in IT hardware sales.
Excellent organizational, communication (written and verbal), and interpersonal skills.
Strong attention to detail, reliability, and multitasking abilities.
Ability to work collaboratively with internal technical teams and external partners.
