Designation: Admin & Accounts Coordinator
Position Overview:
The Admin & Accounts Coordinator plays a pivotal role in ensuring the smooth daily functioning of the academy. This role involves assisting with basic accounting tasks, overseeing all administrative operations, managing front-desk responsibilities, and being the key point of contact for internal and external communication. The ideal candidate is well-organized, reliable, and capable of managing multiple responsibilities efficiently.
Key Responsibilities:
Accounts & Finance Support:
· Maintain and update daily debit and credit registers with accuracy.
· Process payments for vendors, staff, and services as per instructions from the management.
· Collect, organize, and submit bills, receipts, and proofs of payments regularly.
· Maintain proper filing and submission of all financial entries for audit readiness.
Administrative Operations:
· Supervise housekeeping staff (maids) to ensure cleanliness and maintenance of the premises.
· Maintain admin and IT asset registers, tracking usage and condition of items like computers, printers, furniture, AC, Interactive Panels, other Media Equipment’s, etc.
· Handle vendor coordination – obtain quotations, negotiate prices, and arrange procurement upon approval.
· Manage student transport operations by coordinating with drivers and ensuring route discipline and student safety.
· Monitor and maintain student attendance records, coordinate with academic staff for updates and escalations.
· Maintain employee attendance registers and coordinate with HR/admin head for regular updates and reporting.
· Ensure parent hospitality with the support of the maid staff – offer water/coffee and make them comfortable during visits.
· Handle the front desk professionally – welcoming students, parents, and visitors.
Reception & Communication:
· Attend and manage all incoming phone calls to the official academy number and route them appropriately.
· Respond to or forward official emails received by the academy in a timely and professional manner.
· Maintain visitor register, in-out register, and ensure proper documentation of daily entries.
· Schedule meetings or appointments when necessary and inform concerned parties.
Reporting To: Asst. Manager or Manager Operation / State Head.
