Position Title: Accounts & Admin Executive (Office & Factory Operations)

Vaishnodevi (GDF) is looking for a detail-oriented and analytical Accounts & Admin Executive who can manage day-to-day accounts, sales data analysis, along with administrative and coordination work for both the office and factory. The candidate will play a key role in financial monitoring, reporting accuracy, and operational efficiency, supporting management with insights and reliable documentation for business growth.
· Maintain customer ledgers, outstanding balances, and payment follow-ups.
· Record and verify sales invoices, dispatch entries, and collection reports.
· Coordinate with accounts department for daily entries, reconciliation, and audit support.
· Track credit limits, customer payment cycles, and distributor account statements.
· Assist in monthly closing, outstanding analysis, and management summaries.
· Knowledge of Busy Accounting Software preferred.
· Prepare daily, weekly, and monthly reports for sales, dispatch, and receivables.
· Analyze product-wise, region-wise, and distributor-wise sales performance.
· Prepare management dashboards on targets, collection efficiency, and stock status.
· Oversee attendance, leave records, and payroll coordination for staff and labour.
· Maintain dispatch, stock, and production registers in coordination with the factory team.
· Ensure documentation accuracy and timely reporting between factory, accounts, and management.
· Keep important files, records, and communication logs properly maintained.
· Serve as a bridge between sales staff, distributors, and accounts department.
· Manage order confirmations, dispatch follow-ups, and payment collection tracking.
· Support the sales team in preparing performance reports and business summaries.
· Maintain contact databases and ensure communication for business continuity.
· Maintain and update Excel reports, Google Sheets, and digital records for management access.
· Support creation of basic charts, comparisons, and summaries for review meetings.
· Assist management in presentations, analytics, and data interpretation.
· Handle basic office administration tasks, filing, and record-keeping.
· Assist in inventory verification and physical stock checking when required.
· Maintain confidentiality of all financial and business information.
• Graduate or Postgraduate (B.Com / BBA / MBA preferred)
• 2–6 years of experience in Accounts / Coordination roles (preferably FMCG or manufacturing)
• Strong working knowledge of:
- MS Excel (advanced formulas, pivot tables, reporting)
- Busy Accounting Software (preferred)
- Word, PowerPoint, and email correspondence
- Basic understanding of sales analysis and financial data reporting
• Excellent analytical and numerical skills
• Strong command over MS Excel
• Good communication (Hindi + English)

• 6 days a week (Monday–Saturday)
