About the Role
We are seeking a highly organized and proactive Studio Operations & Admissions Coordinator to manage end-to-end studio operations, admissions processes, and administrative coordination. This is a pivotal role that ensures smooth day-to-day functioning, efficient lead management, and seamless communication across departments and creative leadership.
Key Responsibilities
1. Admissions & Student Management
• Handle the complete admissions lifecycle from inquiry through to onboarding
• Maintain and regularly update accurate student databases
• Track student attendance and initiate timely follow-ups for absentees
• Manage consistent communication for fee reminders, renewals, and orientation confirmations
2. Lead Management & Strategic Reporting
• Collate and organize leads from platforms including Instagram, Google, and direct inquiries
• Execute structured, timely follow-ups to maximize conversions
• Maintain clean and up-to-date lead data
• Prepare refined data insights and reports to support the Artistic Director's strategic decision-making
3. Studio Operations Management
• Oversee day-to-day studio functioning and ensure operational efficiency
• Uphold cleanliness and hygiene standards across the studio
• Coordinate maintenance activities proactively (e.g., AC servicing, repairs)
• Ensure timely management of utility payments including electricity, internet, and mobile services
4. Basic Accounts & Administration
• Generate receipts and maintain accurate payment records
• Track fee collections and follow up on pending payments
• Maintain basic financial documentation in an organized manner
5. Coordination, Scheduling & Shoot Management
• Work in close coordination with the Artistic Director and Admissions Director
• Manage calendars, meetings, and day-to-day schedules
• Own and manage shoot calendars, ensuring seamless execution of all planned studio activities
Required Skills & Qualifications
• Strong communication skills — spoken and written English is mandatory
• Excellent organizational and multitasking abilities
• High level of professionalism, reliability, and ownership
• Proficiency in MS Excel / Google Sheets (preferred)
• Prior experience in operations, administration, or admissions management is an advantage
