JOB DESCRIPTION - ACCOUNTS EXECUTIVE Position Accounts Executive / Junior Accountant Department Accounts & Finance Qualification B.Com / M.Com Reporting To Accounts Head /Finance Head /Management Experience 1-3 Years Preferred Employment Full-Time 1. Role Objective We are looking for a disciplined and detail-oriented Accounts Executive who can manage day-to-day accounting, maintain accurate financial records, support statutory compliances, and ensure proper reconciliation of sales, purchases, expenses, receivables, payables, banking and inventory-related transactions. The candidate should have strong accounting fundamentals, good Excel skills and practical knowledge of GST, TDS and MIS reporting. 2. Day-to-Day Accounting • Maintain accurate day-to-day books of accounts. • Record all sales, purchases, receipts, payments, expenses, debit notes and credit notes. • Ensure every accounting entry is supported by proper bills, invoices or documents. • Maintain proper ledger classification and accounting heads. • Ensure transactions are entered daily without backlog. • Maintain cash book and bank book and perform regular ledger scrutiny. 3. Sales & Purchase Accounting • Record and verify sales invoices and purchase bills. • Cross-check purchase invoices with supporting documents. • Maintain vendor-wise and customer-wise ledgers. • Ensure correct GST treatment on sales and purchases. • Reconcile sales and purchase data with accounting records. • Coordinate with operations, stores and purchase teams for missing bills or documents. 4. Accounts Receivable • Maintain complete customer outstanding statements and invoice-wise receivables. • Track due dates and prepare customer ageing reports. • Coordinate with sales/CRM teams for collection follow-ups. • Reconcile customer ledgers and highlight overdue/high-risk receivables. • Maintain records of advances received from customers. 5. Accounts Payable • Maintain vendor-wise outstanding statements and payment due dates. • Verify bills before processing payments and prepare weekly vendor payment schedules. • Reconcile vendor ledgers and maintain vendor advance records. • Prevent duplicate or unauthorized payments. • Coordinate for missing invoices, credit notes and debit notes. 6. GST Compliance • Working understanding of GST basics, applicable rates, CGST, SGST and IGST. • Understand Input Tax Credit (ITC), output GST liability and GST invoice requirements. • Prepare purchase and sales GST reconciliations. • Support GSTR-1, GSTR-3B and GSTR-2B reconciliation. TDS & Statutory Compliance • Working knowledge of TDS provisions and applicable rates. • Identify transactions where TDS is applicable and ensure correct deduction. • Maintain TDS working sheets and reconcile TDS payable with books. • Maintain vendor PAN and statutory information. • Prepare data required for TDS returns and coordinate with CA/consultants. • Maintain a compliance calendar so deadlines are not missed. 8. Bank & Cash Reconciliation • Record banking transactions daily and perform regular bank reconciliation. • Identify unmatched bank transactions and track charges, refunds and settlements. • Maintain petty cash records and verify cash expenses against vouchers. • Ensure actual cash position matches accounting records. 9. Inventory & Stock Accounting • Coordinate with store, factory and warehouse teams for stock records. • Reconcile purchase quantities with inward stock and dispatch/sales with outward stock. • Assist in matching physical inventory with system inventory. • Identify stock discrepancies and maintain records for adjustments, damages, returns and wastage. • Support periodic stock audits. 10. Expense Management • Record business expenses under correct accounting heads. • Verify expense bills and supporting documents. • Maintain employee reimbursements and petty cash expenses. • Track recurring expenses and identify expenses without supporting bills. • Prepare monthly expense summaries and basic budget/previous-month comparisons. 11. MIS Reporting • Prepare Daily Sales, Collection, Expense, Bank Position and Cash Position reports. • Prepare Accounts Receivable, Accounts Payable, Customer Ageing and Vendor Ageing reports. • Prepare Sales vs Collection, Purchase Summary and Expense Summary. • Prepare GST, TDS and Inventory/Stock summaries. • Prepare monthly revenue, basic profitability and month-end closing status reports. • Ensure MIS is accurate, timely and management friendly. 12. Data Compilation & Reconciliation • Compile and reconcile Sales -> Purchases -> Expenses -> Receipts -> Payments -> Bank -> GST -> TDS -> Inventory -> Customer Outstanding -> Vendor Outstanding. • Ensure operational data and accounting records remain synchronized. 13. Excel Skills Required • Basic formulas, SUM/SUMIF/SUMIFS, COUNT/COUNTIF and IF formulas. • VLOOKUP/XLOOKUP, sorting, filtering, Pivot Tables and data validation. • Conditional formatting, reconciliation sheets, MIS preparation and large-data cleaning. 14. Accounting Knowledge Required • Debit & Credit, Journal Entries, Ledgers and Trial Balance. • Profit & Loss Account, Balance Sheet basics and Cash Flow basics. • Sales/Purchase Accounting, Expense Accounting and Bank Reconciliation. Monthly Closing Responsibilities • Ensure all sales, purchases and expenses are booked. • Complete bank and cash reconciliation. • Reconcile customer and vendor ledgers. • Complete GST reconciliation and TDS working. • Update stock-related entries and identify pending bills. • Update receivables/payables, prepare MIS and keep books ready for management/CA review. 16. Candidate Profile • B. Com / M. Com preferred; 1-3 years of practical accounting experience preferred. • Fresh candidates with strong practical accounting, GST, TDS and Excel knowledge may also be considered. • Strong attention to detail, documentation discipline and ability to work with deadlines. • Practical capability in accounts payable/receivable, MIS, bank reconciliation and data compilation. 17.
