1. Personal Grooming and Presentation
Maintain a clean, professional appearance at all times.
Dress appropriately according to company standards.
Exhibit a polite and welcoming attitude.
2. Welcoming Visitors
Greet all clients, channel partners, vendors, and visitors warmly.
Invite them to be seated and offer tea, coffee, or water.
Convey beverage requests to the office boy/maushi promptly.
3. Visitor Management
Ask for the visitor’s name and whom they wish to meet.
Notify the concerned department or sales representative.
For New Clients:
Provide the enquiry form and assist with its completion.
Assign the client to a sales manager as per the ROTA schedule.
Enter the client’s information from the form into the system accurately.
For Returning Clients:
Greet them courteously and take their basic details.
Look up their record in the system.
Inform the appropriate sales manager for follow-up.
4. Communication Duties
Make follow-up or informational calls to clients and channel partners as instructed.
Provide basic project or appointment-related information clearly and courteously.
5. Floor Management
Monitor and manage client traffic during busy periods.
Coordinate with the sales team to ensure all visitors are attended to.
Keep waiting clients informed and engaged if delays occur.
6. Kid Engagement
Provide basic engagement materials (e.g., coloring books, toys) to entertain children.
Create a comfortable atmosphere for families, ensuring parents can focus on discussions.
7. Stationery and Supplies Management
Maintain sufficient stock of all necessary stationery at the reception and in sales cabins.
Monitor usage and coordinate with admin for timely restocking.
8. Support Staff Coordination
Manage the weekly offs and availability of the office boys and maushi.
Ensure at least one support staff is available during working hours for cleaning and serving tea/coffee.
Coordinate and adjust schedules proactively to avoid service disruptions.
9. Weekend Responsibilities
Remain present at the reception until the last client leaves, regardless of standard working hours.
Ensure all clients are attended to and the site remains welcoming and professional.
