Roles and Responsibilities – Procurement Executive

1. Vendor Management

• Identify, evaluate, and develop reliable vendors and suppliers.

• Request and review quotations to ensure competitive pricing.

• Negotiate terms, prices, and contracts to secure the best value.

• Maintain healthy relationships with suppliers to ensure consistent quality and timely delivery.

2. Purchase Planning

• Plan and execute purchase schedules based on project or production requirements.

• Collaborate with various departments (production, stores, finance) to forecast demand.

• Ensure all procurement activities comply with company policies and budgets.

3. Order Management

• Prepare and issue Purchase Orders (POs) as per approved requisitions.

• Track orders and coordinate with vendors for timely deliveries.

• Handle changes or cancellations of orders when necessary.

• Verify material receipts and resolve discrepancies in quantity or quality.

4. Documentation & Compliance

• Maintain accurate records of purchase orders, supplier details, and delivery schedules.

• Ensure compliance with company procedures, taxation, and statutory requirements (GST, invoices, etc.).

• Support the finance team with purchase-related documentation during audits.

5. Cost Control & Optimization

• Analyze market trends and identify opportunities for cost savings.

• Develop and implement strategies to reduce procurement costs without compromising quality.

• Monitor price fluctuations and supplier performance for continuous improvement.

6. Coordination & Reporting

• Coordinate with inventory and stores departments for stock management.

• Prepare periodic reports on procurement status, supplier performance, and cost analysis.

• Support senior management in budgeting and strategic sourcing decisions.

Key Skills Required

• Strong negotiation and communication skills.

• Good knowledge of procurement processes and vendor management.

• Proficiency in MS Office and ERP/Tally systems.

• Analytical and problem-solving abilities.

• Attention to detail and ability to multitask.
