Job Overview:
As a Documentation Executive at a Customs Clearance Firm, you will be responsible for preparing, verifying, submitting, and managing the documentation required for customs clearance of import and export shipments. You will coordinate with clients, shipping lines, CFS, and customs authorities to ensure timely and accurate submission of documents in line with Indian Customs regulations.
Key Responsibilities:
Bill of Entry & Shipping Bill Filing
Preparation and online filing of Bill of Entry (BoE) for imports and Shipping Bill for exports via ICEGATE / EDI systems.
Coordinate with CHA license holder and ensure proper classification under appropriate HSN codes.
Documentation Handling
Review commercial documents such as invoices, packing lists, purchase orders, and licenses (e.g., BIS, FSSAI, PQ, etc.).
Verify the accuracy and completeness of import/export documentation.
Co-ordination
Liaise with clients for document collection and clarification.
Coordinate with customs officials, port authorities, shipping lines, freight forwarders, transporters, and CFS for smooth cargo movement.
Compliance
Ensure compliance with Indian Customs Laws, FTP (Foreign Trade Policy), DGFT notifications, and other applicable statutory requirements.
Maintain knowledge of changes in customs notifications and import-export regulations.
Data Entry & Record Keeping
Enter shipment details into CHA software
Maintain documentation files for audit and record purposes.
Follow-Up & Reporting
Follow up on approvals, examination notices, out-of-charge, and clearance statuses.
Prepare daily status reports for management and clients.
Key Skills & Competencies:
Strong understanding of Concepts.
Knowledge of ICEGATE, EDI filing, and port/CFS operations.
Familiarity with documentation, Export/ import licenses, duty drawback.
Good communication and coordination skills.
Attention to detail and time management.
Basic proficiency in MS Office
Educational & Experience Requirements:
Qualification: Under Graduate or Graduate
Experience: Freshers can apply (Training can be given if needed)
Preferred Languages:
English (written and spoken)
Hindi or regional language (e.g., Gujarati) for client/local coordination
