Role Summary
The IT Coordinator will be responsible for engaging, coordinating, and managing freelancers and vendors across India for IT infrastructure and service delivery projects. The role requires strong vendor management, commercial negotiation, and coordination skills to ensure smooth project execution, cost efficiency, and compliance with company standards.
Key Responsibilities
1. Freelancer & Vendor Identification
Identify, onboard, and empanel freelance engineers and vendors across India.
Verify technical capabilities, certifications, and service history.
Maintain a nationwide database of freelancers/vendors by skill, location, and rates.
2. Commercial Negotiation & Contracting
Negotiate rates, SLAs, and payment terms with freelancers and vendors.
Ensure cost-effective contracts while maintaining service quality.
Draft, review, and manage contracts, NDAs, and service agreements.
Work with Finance team to validate invoices and ensure timely payments.
3. Project Coordination & Execution
Assign freelancers/vendors to projects based on expertise and geography.
Ensure timely deployment for IT infra, AMC, installation, and support tasks.
Track task completion, monitor performance, and handle escalations.
Provide clients and management with regular project status updates.
4. Nationwide Operations Management
Act as the central point of contact for all India-level deployments.
Coordinate multi-location service delivery with minimal delays.
Manage logistics, scheduling, and availability of resources across regions.
5. Compliance & Documentation
Ensure freelancers/vendors adhere to company policies and compliance norms.
Maintain accurate records of contracts, performance, and payment history.
Implement risk management practices to reduce disputes and compliance issues.
6. Relationship & Stakeholder Management
Build long-term, reliable relationships with freelancers, vendors, and partners.
Liaise with clients, internal teams, and third-party stakeholders for smooth execution.
Resolve conflicts and escalations professionally.
7. Process Improvement
Develop systems and trackers for vendor and freelancer engagement.
Suggest cost optimization and efficiency improvement strategies.
Standardize negotiation and engagement processes across India.
Key Skills & Competencies
Strong vendor & freelancer management experience.
Excellent commercial negotiation and contract management skills.
Knowledge of IT infrastructure, AMC, networking, and field services.
Strong communication, coordination, and problem-solving ability.
Proficiency in MS Office, Excel, and project tracking tools.
Ability to manage multi-location operations under tight timelines.
Qualifications & Experience
Education: Graduate in IT/Engineering/Management (MBA/PGDM preferred).
Experience: 4–8 years in IT coordination, vendor management, or service delivery.
Prior experience in freelancer engagement and Pan-India vendor coordination is highly desirable.
