We are seeking a highly skilled and experienced Tender Executive to join our dynamic team. The ideal candidate will have a strong background in the security industry and possess a deep understanding of the tendering process. With 4 to 5 years of experience, the Tender Executive will play a crucial role in managing and executing all tender-related activities, ensuring timely and accurate submission of proposals, and maintaining effective communication with internal stakeholders and clients.
Tender Management:
Prepare, review, and submit tenders, bids, and proposals for security industry projects in line with client requirements and deadlines.
Analyze tender documents, understand the scope of work, and identify any potential risks or challenges.
Coordinate with various departments (technical, legal, finance, and operations) to gather necessary documentation and inputs for bid preparation.
Ensure compliance with all tendering procedures, guidelines, and legal requirements.
Market Research & Opportunity Identification:
Monitor and track relevant tenders and opportunities within the security industry through online portals, publications, and client interactions.
Proactively engage in market research to identify new business opportunities and provide insights to management.
Costing & Pricing:
Assist in the preparation of cost estimations, pricing strategies, and commercial proposals based on client specifications.
Work closely with the finance and technical teams to ensure competitive yet profitable pricing structures.
Document Preparation:
Draft and organize necessary documents, presentations, and technical submissions to meet the specifications of each tender.
Ensure high-quality, professional presentation of all bid submissions.
Stakeholder Communication:
Maintain effective communication with clients, consultants, contractors, and vendors to ensure smooth bid submission and clarifications.
Liaise with internal stakeholders to resolve any issues or queries related to the tender process.
Post-Tender Activities:
Follow up on submitted tenders to receive feedback and assist in contract negotiations once a tender is successful.
Maintain accurate records of all tenders and related documents for future reference.
Compliance & Reporting:
Ensure adherence to company policies, industry regulations, and quality standards during the tendering process.
Prepare regular reports on the status of tenders, pipeline, and outcomes for management review.
Education:
Bachelor's degree in Business Administration, Procurement, Engineering, or a related field. Postgraduate qualifications in tender management or project management are a plus.
Experience:
4-5 years of experience in a similar role, with specific experience in tendering and bid management within the security industry (e.g., security systems, services, surveillance, or risk management).
Proven track record in preparing and submitting tenders for complex security projects.
