About the Role
We are looking for a smart, highly organized Executive Secretary to support our [Chairman/CEO/Founder] in day-to-day business operations. This role is the single point of coordination for meetings, communication, travel, and key follow-ups, and requires very high levels of confidentiality, professionalism, and ownership.
Key Responsibilities
• Manage the executive’s calendar, meetings, appointments and reminders end-to-end.
• Act as the first point of contact for calls, emails and messages on behalf of the executive.
• Draft and respond to emails, letters, minutes of meetings and official communication.
• Coordinate with internal teams (Admin, Finance, HR, Projects, Legal, etc.) to collect updates, MIS and reports.
• Maintain a clear task and follow-up tracker for all actions given by the executive.
• Prepare presentations, reports, proposals and review decks as per the executive’s brief.
• Organize and maintain digital & physical filing of important documents and approvals.
• Plan and manage domestic & international travel – flights, hotels, visas, ground transport and day-wise itineraries.
• Coordinate logistics for meetings, reviews, client visits, conferences and events.
• Handle sensitive and confidential information with absolute discretion and integrity.
• Provide limited personal assistance (appointments, travel, documentation) where linked to business commitments.
Desired Candidate Profile
• Graduate in any discipline (Commerce / Business / Management preferred).
• 3–7 years of experience as Executive Secretary / Executive Assistant / PA to senior management (Director/CEO/MD).
• Excellent communication skills – written & spoken English; [add local language if required].
• Strong coordination, planning and follow-up abilities.
• High proficiency in MS Office / Google Workspace (Word/Docs, Excel/Sheets, PowerPoint/Slides, Outlook/Gmail, Calendar).
• Very organized, detail-oriented, and comfortable handling multiple tasks & deadlines.
• High level of maturity, discretion, and trustworthiness in dealing with confidential information.
• Professional appearance, positive attitude, and ability to work closely with top management.
