Key Responsibilities:
1. Scheduling & Coordination
Manage calendars, schedule internal and external meetings, and coordinate appointments for management.
Organize and facilitate team meetings, take minutes, and follow up on action items.
2. Meeting Coordination
Prepare meeting agendas, arrange logistics, and ensure availability of required resources.
Coordinate with vendors, clients, and team members to ensure smooth meeting execution.
3. Project Support
Assist various departments with administrative tasks related to project execution.
Track project timelines and maintain documentation.
4. Office Management
Oversee day-to-day office operations, ensuring a well-maintained and efficient workspace.
Liaise with service providers for facility maintenance and office utilities.
5. Data Entry & Reporting
Maintain and update internal databases, records, and reports with high accuracy.
Compile and present data for administrative and operational reporting.
6. Budget Management
Assist in tracking office budgets and expenses.
Prepare expense reports and help in budget forecasting.
7. Record-Keeping & Filing
Maintain physical and digital filing systems for important company documents.
Ensure confidential and sensitive information is handled appropriately.
8. Procurement & Supplies
Manage office supply inventory and place orders as needed.
Coordinate with vendors and suppliers for timely procurement of goods and services.
Requirements:
Bachelor’s degree.
Proven experience (2+ years) in an administrative or executive support role.
Strong organizational and multitasking abilities.
Proficiency in MS Office (Excel, Word, Outlook, PowerPoint).
Excellent communication and interpersonal skills.
Ability to work independently and handle confidential information with discretion.
Attention to detail and problem-solving skills.
Preferred Qualifications:
Experience with office management tools or ERP systems.
Basic understanding of budgeting and financial documentation.
