Executive Assistant – Key Responsibilities
1. Administrative Support
Manage the daily schedule, appointments, and calendar of the Director/Managing Director.
Coordinate and organize meetings, conferences, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
2. Communication & Coordination
Act as the first point of contact between the Director and internal/external stakeholders.
Handle phone calls, emails, and messages professionally and efficiently.
Liaise with department heads, clients, and vendors on behalf of the Director.
3. Office & Task Management
Maintain proper filing systems (digital & physical) for confidential documents.
Ensure smooth office operations related to executive-level requirements.
Monitor deadlines, follow up on pending tasks, and ensure timely completion.
4. Reporting & Documentation
Prepare reports, meeting minutes, and summaries for the Director.
Maintain records of important decisions, approvals, and policies.
Assist in drafting proposals, business letters, and professional communication.
5. Project & Event Assistance
Support the Director in managing key projects and initiatives.
Organize and coordinate company events, client meetings, and employee gatherings.
Track project progress and provide timely updates.
6. Confidentiality & Professionalism
Handle sensitive information with utmost confidentiality.
Maintain professionalism in all interactions, both internal and external.
Support the Director in both professional and sometimes personal tasks, ensuring trust and reliability.
7. Travel & Expense Management
Plan and book travel arrangements, accommodations, and itineraries.
Handle reimbursements, expense reports, and budget tracking.
8. Decision Support
Conduct basic research, gather information, and provide insights to assist decision-making.
Anticipate the needs of the Director and proactively manage priorities.
