Position Overview:

We are seeking a warm, professional, and organized Receptionist to be the first point of contact for our clinic. The ideal candidate will ensure smooth front-desk operations, provide excellent client service, and support the clinical team with day-to-day administrative tasks.

Key Responsibilities:

• Greet and welcome clients with a friendly, professional attitude

• Handle phone calls, WhatsApp, emails, and appointment scheduling

• Maintain client records and update databases accurately

• Manage billing, payments, and daily cash register reports

• Coordinate with doctors and staff to streamline patient flow

• Maintain cleanliness and orderliness of the reception area

• Provide information about clinic services, offers, and treatments

• Assist in handling client inquiries, concerns, and follow-ups

Key Performance Areas (KPA):

1. Client Experience – Ensuring every client receives a warm welcome, timely assistance, and professional service.

2. Appointment Management – Accuracy in scheduling, rescheduling, and minimizing client waiting time.

3. Communication & Coordination – Smooth liaison between clients, dermatologists, and clinic staff.

4. Accuracy in Records & Billing – Error-free documentation, payments, and cash reconciliation.

5. Front-Desk Management – Maintaining reception area aesthetics, discipline, and efficiency.

6. Service Promotion – Informing clients about ongoing offers, packages, and new treatments.

7. Customer Retention & Follow-up – Maintaining strong client relationships and ensuring repeat visits.

Requirements:

• Graduate (preferred) with good communication skills (English & Hindi)

• Prior experience in healthcare, hospitality, or customer service preferred

• Excellent interpersonal and organizational skills

• Proficiency in MS Office and appointment management software

• Polite, confident, and customer-focused personality

• Ability to multitask and work in a fast-paced environment
