1. Maintain all information of the hospital services & Available Doctors, Contact Numbers, emergency & Ambulance services, suppliers & vendors, staff working, Corporate empaneled for facilities, if list extension numbers.
2. Welcome, Receive, Guide & give Information to Visitors, Patients, Ensure Comfortable sitting to all.
3. Attend to Phone Calls, take appointments & messages for consultant doctors, staff all transfer calls to various departments, also connect important Numbers when asked for.
4. Ensure Proper Registration of OPD & IPD Patients capture relevant details of Patient Name, phone Numbers, Mobile Numbers & E-mail ID referring Doctor, Address etc.
5. Book Appointments for consultant doctors as per their days schedule and Timings.
6. Use brochures, leaflets & Other Promotional materials available to enhance information on the hospital services.
7. Front Office Executive should know in detail about hospital Services & Facilities and relevant people working in the hospital.
8. Get Well Versed with handling Hospital Information System, Use of Computers Skills to Process patient data, document & filing.
9. Ensures to handover Feedback forms to all patients & Collect the same in the drop box.
10. Ensure to Collect the payment through Cash, Credit Card as per the tariff & ensure to generate bill in duplicate (One for Patient & one for file).
11. Co-ordinate with Finance Department in handling over cash periodically as suggested by the management / Front Office Manager.
12. Ensure Proper Patient Information (Age, Sex, Address, Contact Number, Referral Doctors etc., ) Hospital Numbers, MRD Numbers are generated from the Hospital Management Systems and the same is printed out & pasted in all the Patients files & the relevant case-sheet added on as per treatment.
13. Keep ready OPD & IPD Files for use on daily basis with relevant documents & records for the doctors & user departments.
14. Ensure to handover hospital patients ID card after registration & inform them to get the same on each & every visit.
15. Maintain a master list of the following documents
· Consultant Doctors
· Emergency Numbers
· Ambulance
· Staffs Contact Numbers
· Vendors & Suppliers list & contact Numbers.
· Corporate Companies empaneled TPA’s & Insurance Companies.
· Hospital tariff List.
16. Maintain a Visitor Book & Request for comment.
17. Take Messages for all staffs concerned & pass on the information to the concerned.
18. Ensure to come in proper uniform with presentable grooming & attire.
19. Ensure to receive all guests with a smile & welcome greetings.
20. Organize Wheel Chair through helpers, whenever necessary
21. Escort VIP’s & other dignitaries to the Chairman Room/Board Room & inform Management about the Visitors.
22. Follow the Policy of the hospital to send patients along with hospital attendant to the consultant doctor/diagnostic investigations departments etc.
23. Ensure to direct patients to the respective doctor Floor, Department & Room Wise.
24. Ensure to keep the reception table neat & tidy.
25. Receive & Welcome guests/patients with a smile provide information & guide them to their satisfaction.
26. Front Office Executive ensures that they do not get disturbed with repeated queries from the same patients.
27. Answer all queries patiently, keep calm & make patient Comfortable at all times.
28. Avoid arguments completely in case patients are angry & escalate the matter to the Front Office Manager/Management.
29. Ensure to come 10 mins before the Scheduled time of duty & occupy the Chairs & be ready to serve.
30. Extend the best of inter & intra personal skills in all aspect of communication.
