We are seeking a professional, friendly, and well-organized Receptionist to be the first point of contact for our Hair and Skin Clinic. The ideal candidate will have excellent communication skills, a polished appearance, and the ability to multitask in a fast-paced environment. This role involves managing client appointments, greeting visitors, handling inquiries, and supporting the clinic team to ensure a smooth and welcoming experience for all clients.
Greet clients warmly and professionally as they arrive at the clinic.
Manage appointment scheduling via phone, email, or booking software.
Answer incoming calls and respond to queries regarding clinic services, pricing, and availability.
Maintain a clean, organized, and welcoming reception area.
Confirm appointments and send reminders to clients via call, text, or email.
Coordinate with dermatologists, trichologists, aestheticians, and other staff to manage scheduling.
Handle client check-ins and check-outs, including processing payments and issuing receipts.
Update and manage client records and documentation in the clinic database or CRM system.
Assist with administrative duties such as inventory checks, supply ordering, and filing.
Ensure confidentiality and professionalism at all times in handling client information.
Inform clients of promotional offers, packages, and new treatments.
High school diploma or equivalent; additional certification in office administration or customer service is a plus.
Prior experience as a receptionist or front desk staff, preferably in a clinic, salon, or spa environment.
Excellent interpersonal and communication skills.
Proficient with MS Office and appointment scheduling software (e.g., Cliniko, MindBody, Fresha, etc.).
Polished and professional appearance with a customer-friendly attitude.
Ability to handle stressful situations and remain calm under pressure.
Knowledge or interest in skincare, haircare, and beauty treatments is an advantage.
Basic cash handling and billing knowledge.
