Role Overview
As a Female Event Executive at Papillon, you will play a pivotal role in the execution of corporate events, MICE programs, and guest hospitality services. The role demands high levels of professionalism, client orientation, and operational excellence. You will be responsible for ensuring seamless coordination across multiple stakeholders, delivering memorable experiences to our clients and their guests.
This role is best suited for energetic, confident, and detail-oriented female candidates with a background in Event Management or Hospitality who are willing to handle the fast-paced nature of the industry, including early mornings, late nights, and travel assignments.
Core Responsibilities
Event Planning & Coordination
Support the Event Manager in planning and executing corporate events, conferences, and MICE projects.
Coordinate with vendors, suppliers, and venue partners to ensure smooth operations.
Prepare event proposals, checklists, timelines, and client decks.
Guest Hospitality Management
Handle help desk, RSVP calls, and guest communication.
Manage guest arrivals & departures, room key distribution, and on-site coordination.
Provide shadow services to VIPs, ensuring comfort and personalized care.
On-Site Event Execution
Supervise event setups including stage, décor, audio-visuals, F&B, and seating arrangements.
Work closely with vendors and internal teams to ensure zero-error execution.
Manage hospitality desks, guest movements, and client coordination on event days.
Travel & Logistics Support
Assist in coordinating flights, hotel bookings, transport, and activity plans for corporate and MICE groups.
Ensure timely movement of guests and staff with proper documentation.
Manage last-minute travel adjustments and provide real-time problem solving.
Documentation & Reporting
Maintain accurate records of vendor agreements, guest lists, and budgets.
Create post-event reports, feedback summaries, and expense statements.
Assist in data management and process documentation.
Technology & Creativity
Use MS Excel & PowerPoint for presentations, itineraries, and reports.
Leverage Canva and AI tools for creative requirements like guest decks, invites, or visual aids.
Stay updated with latest event tech & hospitality trends to bring innovative ideas.
Candidate Expectations
Fluent communication skills in English & Hindi (Bengali is a plus).
Well-groomed, confident, and client-facing personality.
Ability to handle work pressure, long hours, and travel schedules gracefully.
