Job Summary:We are seeking a detail-oriented and proactive Trip Events Execution Coordinator to oversee the seamless execution of travel events, including corporate retreats, educational tours, incentive trips, and group travel programs. This role is responsible for managing logistics, coordinating with vendors, and ensuring participants have a smooth and enjoyable experience from departure to return.Key Responsibilities:Pre-Trip Planning:Coordinate all pre-event logistics including transportation, accommodation, meals, and activities.Liaise with internal teams and clients to understand travel objectives and tailor the trip accordingly.Source and manage vendors (transport, hotels, tour guides, etc.)Create and distribute travel itineraries, packing lists, and other relevant documentation.Onsite Execution:Travel with the group to ensure on-ground coordination and support.Serve as the primary point of contact for attendees and resolve any issues in real-time.Manage schedules, attendance, and ensure all planned activities are executed as intended.Logistics Management:Ensure transportation and accommodations are aligned with safety, budget, and quality standards.Coordinate check-ins, group transfers, meal arrangements, and special requests.Handle emergency changes or last-minute alterations with minimal disruption.Post-Trip Follow-Up:Collect feedback from participants and internal teams.Prepare trip reports highlighting successes, challenges, and areas for improvement.Process vendor payments and expense reports.
