The Event Coordinator is responsible for planning, organizing, and executing events from conception to completion. This role ensures all aspects of the event run smoothly, within budget, and meet client or organizational expectations. The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks under tight deadlines.
Plan, coordinate, and oversee all aspects of events, including meetings, conferences, exhibitions, weddings, and corporate gatherings.
Develop event concepts, themes, and timelines in alignment with client objectives or organizational goals.
Coordinate logistics such as venue selection, catering, audio-visual arrangements, décor, transportation, and accommodation.
Manage event budgets, negotiate with vendors, and ensure cost-effectiveness without compromising quality.
Create and maintain event documentation, including schedules, guest lists, and contracts.
Communicate with clients to understand their requirements and ensure their expectations are met.
Supervise event staff, volunteers, and vendors during event setup, execution, and teardown.
Ensure compliance with health, safety, and legal regulations for all events.
Monitor event progress, troubleshoot issues, and provide on-site support during events.
Conduct post-event evaluations and prepare reports on outcomes, feedback, and improvement areas.
