We are seeking a highly organized and detail-oriented Tender Executive to manage and streamline our tender submission process. The ideal candidate will possess a strong understanding of tender documentation, compliance requirements, and bid management best practices, specifically within the Government e Marketplace (GeM) portal. They will be responsible for ensuring accurate and timely submission of bids, supporting the sales team, and maintaining comprehensive tender records.
Responsibilities:
Tender Management:
Monitor and track tender opportunities from various sources, including the GeM portal.
Analyze tender documents and identify key requirements, deadlines, and eligibility criteria.
Coordinate with internal departments (sales, technical, legal) to gather necessary information and documentation.
Prepare and compile complete and accurate tender submissions, ensuring compliance with all requirements, especially those related to GeM.
Manage and maintain a centralized database of tender documents and related information.
Ensure timely submission of tenders and track submission status.
Documentation and Compliance:
Maintain a thorough understanding of relevant tender regulations and compliance standards, including GeM specific guidelines.
Prepare and review all tender documentation, including technical proposals, financial bids, and supporting documents.
Ensure all documents are accurate, complete, and formatted according to tender specifications.
Manage and maintain all required certifications and licenses.
Bid Support:
Provide administrative and logistical support to the sales team during the tender process.
Assist in the preparation of presentations and other bid-related materials.
Respond to tender-related inquiries from clients and internal stakeholders.
Maintain communication with clients regarding tender status and updates.
Record Keeping and Reporting:
Maintain accurate and up-to-date records of all tender activities.
Generate reports on tender performance, including submission rates, win/loss ratios, and key metrics.
Analyze tender data to identify trends and areas for improvement.
Process Improvement:
Identify and recommend improvements to the tender submission process, particularly regarding GeM operations.
Develop and maintain standard operating procedures (SOPs) for tender management.
Stay updated on industry best practices and emerging tender trends.
Qualifications:
Bachelor's degree in business administration, or a related field.
Proven experience in tender management or bid administration.
Extensive and demonstrated knowledge of the Government e Marketplace (GeM) portal.
Strong understanding of tender documentation, compliance requirements, and bid management best practices.
Excellent organizational, time management, and communication skills.
Proficiency in MS Office Suite (Word, Excel, PowerPoint).
Ability to work independently and as part of a team.
Attention to detail and a high level of accuracy.
Experience with e-procurement platforms is a plus.
Knowledge of industry-specific tender requirements is a plus.
Preferred Skills:
Familiarity with CRM systems.
Knowledge of legal and contractual requirements related to tenders.
Ability to manage multiple projects and deadlines simultaneously.
Strong analytical skills.
