A Tender Executive is responsible for managing the end-to-end process of identifying, preparing, and submitting bids and proposals for contracts and projects. This role involves coordinating with various internal teams, analyzing tender documents, developing winning proposals, and ensuring compliance with all relevant regulations and deadlines.
Key Responsibilities:
Tender Identification and Analysis:
Monitoring online and offline tender portals (e.g., GeM, CPPP) for relevant opportunities.
Analyzing tender documents (RFPs, RFQs, EOIs) to assess feasibility and alignment with company capabilities.
Developing a comprehensive bid plan and timeline for each identified opportunity.
Proposal Development:
Preparing well-structured and compelling tender proposals in line with client specifications and company guidelines.
Collaborating with various departments (e.g., technical, legal, finance) to gather necessary information and ensure accuracy.
Ensuring all tender documents, certifications, and other required paperwork are accurate, up-to-date, and compliant with regulations.
Bid Management and Coordination:
Managing the entire bid process, from initial identification to final submission.
Coordinating with internal teams, including sales, marketing, legal, and finance, to ensure smooth and timely execution.
Monitoring tender timelines and ensuring all submissions are made on or before the deadline.
Maintaining accurate records of all tender activities and communications.
Compliance and Documentation:
Ensuring all tender submissions comply with relevant regulations, company policies, and industry standards.
Preparing and submitting pre-qualification documents and other required paperwork.
Managing and maintaining all tender-related documentation.
Client Communication and Negotiation:
Liaising with clients and stakeholders to clarify requirements and negotiate terms.
Following up on submitted tenders and providing regular updates on their status.
Building and maintaining strong relationships with clients and industry contacts.
Skills and Qualifications:
Bachelor's degree in Business, Procurement, Management, or a related field.
Proven experience in a tendering or procurement role, preferably with experience in the relevant industry.
Strong understanding of the tender process, including legal and regulatory requirements.
Excellent analytical, organizational, and project management skills.
Exceptional communication, negotiation, and interpersonal skills.
Proficiency in Microsoft Office Suite and other relevant software.
Ability to work under pressure and meet tight deadlines.
In addition to the core responsibilities, a Tender Executive may also be involved in:
Developing and implementing strategies to improve the company's win rate on tenders.
Conducting market research and intelligence on upcoming tenders.
Providing training and guidance to other team members on tendering processes.
