We are seeking a highly organized and proactive Executive Assistant to manage and respond to customer company emails, maintain ongoing communication with vendors for order updates, and ensure timely follow-ups and record maintenance. The ideal candidate will play a key role in streamlining communication and operations between our company, clients, and vendors.
Email Management:
Monitor and respond to emails from customer companies in a timely and professional manner.
Draft, proofread, and send routine correspondence on behalf of the management.
Ensure all customer queries are addressed or escalated as necessary.
Vendor Coordination & Order Follow-Up:
Communicate with vendors regularly to get updates on order status.
Ensure timely follow-ups to avoid any delays or miscommunication.
Track and update internal systems with order statuses and timelines.
Record Maintenance:
Maintain accurate and up-to-date records of email communications, vendor updates, and order progress.
Organize documents and reports for easy retrieval and reference.
Follow-Up Actions:
Ensure all pending tasks and communications are followed up until closure.
Alert management of any delays, issues, or deviations from expected timelines.
Support to Management:
Assist senior management in daily administrative tasks.
Provide summary reports and dashboards related to customer communication and vendor orders.
Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
Excellent written and verbal communication skills.
Strong organizational and time management skills.
Proficiency in MS Office (Word, Excel, Outlook) and email management tools.
Ability to multitask and handle sensitive information with confidentiality.
Attention to detail and a proactive attitude.
Prior experience working in operations, supply chain, or vendor management is a plus.
Familiarity with order tracking systems or CRM tools is desirable.
