RESPONSIBILITIES:
Ø Calendar Management: Scheduling meetings, appointments, and managing the executive's calendar efficiently.
Ø Travel Coordination: Arranging travel itineraries, including flights, accommodation, ground transportation, and visas if necessary. Communication Management: Screening calls, managing emails, and responding to inquiries on behalf of the executive.
Ø Document Preparation: Drafting, editing, and formatting correspondence, reports, presentations, and other documents as needed.
Ø Meeting Coordination: Planning and organizing meetings, including preparing agendas, taking minutes, and following up on action items.
Ø Task Prioritization: Prioritizing tasks and managing deadlines effectively to ensure the executive's objectives are met.
Ø Information Management: Organizing and maintaining files, records, and databases in a systematic and confidential manner.
Ø Relationship Management: Building and maintaining relationships with internal and external stakeholders, including clients, partners, and colleagues.
Ø Project Support: Assisting with project management tasks, such as research, coordination, and tracking progress.
Ø Event Planning: Coordinating and executing events, conferences, and other gatherings as required.
Ø Expense Management: Tracking and reconciling expenses, preparing expense reports, and managing reimbursements.
Ø Personal Assistance: Providing personal support to the executive as needed, such as errands, appointments, and personal correspondence.
QUALIFICATIONS:
Proven Experience : Previous experience as an executive assistant or in a similar administrative
role, preferably supporting C-suite executives or business leaders.
Organizational Skills : Strong organizational and time-management skills, with the ability to
multitask and prioritize effectively in a fast-paced environment.
Communication Skills : Excellent written and verbal communication skills, with a professional and
diplomatic demeanour.
Attention to Detail : High level of accuracy and attention to detail, particularly when handling
sensitive information and documents.
Tech Savvy : Proficiency in office productivity software such as Microsoft Office Suite,
as well as familiarity with communication and scheduling tools.
Discretion : Demonstrated ability to maintain confidentiality and handle sensitive
Information with discretion and professionalism.
Problem-Solving Skills : Resourcefulness and the ability to anticipate needs, solve problems, and
make decisions independently.
Adaptability : Flexibility and adaptability to changing priorities and requirements, with a
