POSITION/DESIGNATION: BACK OFFICE EXECUTIVE COMPANY: HAIRMATE CLINIC PVT. LTD.
• Coordinate with doctors, patients, sales team & accounts department. • Coordinate with patients after booking.
• Coordinate with patients for medical reports. Guide them to pathological labs as per their convenience. Collect medical reports from patients & then coordinate with respective doctors & clinic personnel.
• Create invoices to collect payments from patients.
• Coordinate with patients before & after surgery.
• Attend to queries of patients.
• Respond to patients’ phone calls even after working hours.
SECOND SALES
• Monthly Patient Follow-Ups: Implement a system for contacting patients who have undergone surgery within the last 9 months. This can be done through phone calls or a combination of calls and emails.
• Treatment Recommendations: During follow-up calls, discuss the potential benefits of PRP, GFC, and other relevant products to enhance recovery and longterm results.
• Sales Target Tracking: Closely monitor sales targets for PRP, GFC, and other products. Adjust sales strategies as needed to meet or exceed these targets.
• Referral Generation: Encourage satisfied patients to refer friends and family by offering incentives or referral programs.
• Follow-ups with patients after surgery, for feedback, photos, Google reviews & all reviews on social media.
• To keep a tap/check on daily reports from Centre Managers & receptionists in regard to inflow, number of patients, surgeries & procedures.
• Back Office Management (HO): Managing the office boy, maintaining a good housekeeping standard, maintaining office decorum, handling petty cash & bill payments on time.
• Inventory Management (Medical): Responsible for Medical Inventory Management across locations with the help of Centre Manager, Receptionist & OT Technicians. To keep a check on consumption & carryout purchases on time.
• Inventory Management (General): Responsible for all general / admin purchases in HO & across locations.
• Courier Management: Send, track, follow-ups, coordinate, payments etc. If you are physically absent for any reason, you must ensure that all tasks related to you should run smoothly; and you can do this with proper planning, communication, coordination & follow-ups. Requirements:
