We are seeking a reliable and detail-oriented Back Office Executive to join our team. The ideal candidate will be responsible for handling administrative and support tasks such as email follow-ups, customer calling, preparing invoices and estimates, and updating order details in the system. The role requires strong organizational skills, effective communication, and a proactive approach to support front-line teams.
Email Follow-Up:
Monitor and respond to customer and vendor emails promptly.
Maintain email communication records and ensure timely updates.
Customer Calling:
Make follow-up calls to customers regarding order confirmations, payments, or queries.
Provide accurate information and ensure a positive customer experience.
Invoice and Estimate Preparation:
Create and share accurate invoices and cost estimates based on purchase orders or service requests.
Coordinate with relevant teams to ensure billing accuracy and timely delivery.
Order Updates:
Maintain and update order status in the system.
Track ongoing orders and notify customers or teams of any changes or delays.
Data Entry and Record Keeping:
Ensure all customer and order data is up to date.
Maintain digital and physical records as needed.
Coordination Support:
Liaise with sales, logistics, and accounts teams for smooth workflow.
Assist in reporting and preparing documentation for audits or reviews.
