We are looking for a reliable and detail-oriented Admin Executive to manage administrative tasks related to tender filing, documentation, coordination, and basic accounts. The ideal candidate will support day-to-day office operations and ensure timely follow-ups and data organization, playing a key role in the smooth functioning of the business.
Prepare, organize, and file government and private tender documents.
Maintain a calendar of active tenders and their submission deadlines.
Coordinate with the sales/technical team to collect required documents.
Submit tenders online and offline as required.
Maintain a record of submitted tenders and track outcomes.
Maintain and update company documentation including legal, compliance, and vendor records.
Organize physical and digital filing systems for easy retrieval.
Ensure all necessary documents (licenses, certificates, contracts) are up to date.
Follow up with clients, government departments, and vendors for documentation, approvals, or clarifications.
Maintain communication logs for tender queries and project updates.
Support internal teams with coordination tasks and meeting schedules.
Assist in day-to-day accounting entries like petty cash, vouchers, and basic invoicing.
Support the accountant with data entry and documentation of financial records.
Maintain expense records and bill filing.
Graduate in Commerce/Business Administration or relevant field.
1-3 years of experience in administrative or back-office roles (preferably with tender filing experience).
Basic knowledge of MS Office (Word, Excel, Outlook).
Familiarity with online tender portals (GeM, eProcurement, etc.) is a plus.
Good organizational and follow-up skills.
Attention to detail and ability to meet deadlines.
Strong verbal and written communication.
Basic knowledge of accounting software (Tally or similar).
Self-motivated and proactive work ethic.
