Job Summary:
The Admin Executive plays a crucial role in the smooth and efficient operation of the diagnostic healthcare centre. This position is responsible for providing comprehensive administrative and clerical support, ensuring excellent patient service, and maintaining a well-organized and professional environment. The ideal candidate will be highly organized, detail-oriented, possess strong communication skills, and have a compassionate approach to patient interaction.
Key Responsibilities:
Front Office & Patient Management:
Greet and assist patients and visitors in a courteous and professional manner.
Manage patient registration, including collecting accurate demographic and insurance information.
Schedule and confirm appointments for various diagnostic tests (e.g., blood tests, X-rays, ultrasound, MRI, CT scans).
Handle patient inquiries in person, over the phone, and via email, providing accurate information about services, pricing, and preparation instructions.
Direct patients to appropriate testing areas and ensure a smooth flow throughout their visit.
Manage patient records, ensuring confidentiality and accuracy.
Assist patients with billing and payment processing, including cash, card, and online transactions.
Address patient concerns and complaints effectively and escalate to management when necessary.
Administrative Support:
Maintain and organize physical and electronic filing systems for patient records, reports, and administrative documents.
Prepare and manage correspondence, reports, presentations, and other documents as required.
Coordinate and schedule meetings for staff and management.
Manage incoming and outgoing mail and couriers.
Order and maintain office supplies, stationery, and other necessary inventory.
Ensure the reception area and common spaces are clean, tidy, and presentable.
Assist in maintaining equipment functionality and coordinate repairs when needed.
Liaise with vendors and service providers as instructed by management.
Report Management & Delivery:
Assist in the timely dispatch of patient reports, ensuring accuracy and confidentiality.
Coordinate with the lab and imaging departments for report availability and delivery.
Manage report delivery methods (e.g., physical collection, email, online portal).
Data Entry & Record Keeping:
Accurately enter patient data, test results, and billing information into the centre's software system.
Maintain daily logs and records as required.
Compliance & Safety:
Adhere to all healthcare regulations, confidentiality policies (e.g., HIPAA), and internal protocols.
Ensure a safe and secure environment for patients and staff.
Qualifications:
Education: Bachelor's degree in any discipline. A degree in Healthcare Administration, Business Administration, or a related field is a plus.
Experience: 1-3 years of proven experience in an administrative or front office role, preferably within a healthcare setting (diagnostic centre, hospital, clinic).
Skills:
Excellent verbal and written communication skills (English and local language - Marathi/Hindi preferred).
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with hospital/diagnostic information systems (HIS/LIS) or similar patient management software is highly desirable.
Strong organizational and time management skills with the ability to multitask effectively.
High level of accuracy and attention to detail.

Working Conditions:
