Dispatcher

Job Summary:

We are looking for a reliable and organized Dispatcher to manage day-to-day logistics operations. This person will be responsible for arranging vehicles for dispatch, coordinating with laborers for loading/unloading, and tracking the entire dispatch-to-delivery cycle. The role requires someone who can stay on top of fast-moving orders, coordinate efficiently with transporters and warehouse staff, and ensure timely and error-free deliveries.

Key Responsibilities:

• Vehicle Coordination:

  • Arrange and schedule transport vehicles for daily dispatches.

  • Coordinate with transporters to ensure timely availability of vehicles.

  • Negotiate and confirm freight charges when required.

• Labour Management:

  • Arrange skilled/unskilled labor for loading and unloading of goods.

  • Ensure safe handling of material during loading/unloading.

  • Maintain a list of on-call labor resources.

• Dispatch Oversight:

  • Prepare and verify dispatch documents (delivery challans, invoices, packing lists, etc.).

  • Ensure proper packing, labeling, and documentation before loading.

  • Supervise loading to avoid damage and mismatch.

• Delivery Tracking:

  • Keep real-time records of dispatched orders and delivery status.

  • Follow up with drivers and transporters to ensure timely deliveries.

  • Communicate updates or delays to sales and customer service teams.

• Record Keeping:

  • Maintain daily logs of all dispatches, vehicle details, driver contacts, delivery confirmations.

  • Track and report delays, damages, or delivery exceptions.

  • File PODs (Proof of Delivery) and update system or records accordingly.

Requirements:

• Proven experience in logistics, dispatch, warehouse, or transport coordination.

• Strong communication and negotiation skills.

• Basic knowledge of transport regulations and safety practices.

• Proficiency in using WhatsApp, Excel, or dispatch tracking systems (ERP Next experience is a plus).

• Ability to multitask and handle pressure in a fast-paced environment.

Preferred Qualifications:

• 10th/12th pass or Graduate in any discipline.

• Familiarity with transport operations for plywood, doors, or hardware industries is a bonus.

• Local area knowledge of Bhubaneswar/Chandaka Industrial Estate preferred.
