1 Responsible for the answering and transferring of incoming telephone calls to the office to the appropriate member of staff and/or the correct department.
2 Setting appointments and reminders with clients, vendors.
3 Organising beverages and conference room for important meetings
4 Great clients and vendors and direct them.
5 Soft spoken, pleasant personality, within preferably English speaking skills.
6 Analyse travel and other products best deals and make bookings/ orders
7 Good knowledge of MS word and MS excel.
8 Internet Savvy
B Accounting
1 Follow up with vendors & clients for various accounting queries and sales bills
2 Follow up with CA / accounting for queries and providing data for same.
3 Bill payments such as phone, electricity, property tax, maintainance
4 Maintain Petty Cash Book, cheque and gst records and tally with bank statements
5 Check TDS & GST each month
6 Coordination with CA & CS
C Facility, Supplies & AMC
1 Keeping tab of Office stationary supplies, Computer Supplies, Pantry supplies and Toilet supplies.
2 Oversee the maintenance and upkeep of the office environment.
3 Manage vendor relationships for vendors like cleaning, repairs, etc
4 Organise folders, files, cabinets
5 Keeping tab of AMC and dates of servicing for Computers, Plotters, RO, AC etc
D HR
1 Calendar team holidays
2 Prepare Salary Slips
3 Muster and calculate salaries
4 Organise Birthdays/ celebrations
5 Assist with recruiting and interviewing processes.
6 Provide administrative support to HR activities, including onboarding, employee files, and leave management.
7 Organise team events - recreation
8 Organise team HR training sessions through vendors etx
9 Regular appraisals done
