Position Title: Travel Desk Executive (1 Year Renewable Contract – TMS Payroll)

Education: Graduation in any discipline
Experience: 2 to 4 years in travel coordination or a related field
Reporting To: Travel Manager / Admin Head

We are seeking an experienced and proactive Travel Desk Executive to manage end-to-end business travel functions. The ideal candidate should be detail-oriented, customer-focused, and capable of handling travel bookings, vendor coordination, expense management, and documentation. This role demands excellent communication and problem-solving skills to ensure smooth and cost-effective travel arrangements across the organization.
· Coordinate and book domestic and international travel itineraries including flights, hotels, and transportation
· Liaise with travel agencies, airlines, hotels, and vendors to secure best services and negotiate competitive rates
· Prepare and maintain essential travel documentation such as tickets, visas, insurance, and itineraries
· Manage travel-related expense reports and process reimbursements in compliance with company policies
· Provide timely assistance and emergency support to employees during travel
· Ensure all travel activities adhere to the company’s travel policies and procedures
· Maintain up-to-date records of travel bookings, vendor contracts, and expense reports
· Generate periodic travel reports and support audit requirements
· Communicate travel updates effectively with all stakeholders
· Functional Skills: Travel management, vendor negotiation, documentation, expense tracking, customer support
· Behavioral Skills: Effective communication, problem-solving, adaptability, attention to detail, time management
· Technical Skills: Proficient in MS Office (Excel, Word, PowerPoint), general travel booking platforms, email communication
· EHS Awareness: Basic understanding of Environment, Health, and Safety (EHS) practices relevant to travel safety
