1. Project Planning & Coordination Develop detailed project plans, including scope, timelines, resources, and budget. On-time project planning completion (percentage of projects where planning is completed before the project start). Accuracy of project scope (measured by deviation from initial scope due to scope creep). Coordinate with clients, designers, vendors, and internal teams to ensure all requirements are met. Number of client revisions or scope changes (aim for fewer changes). Approval time for project plan (average number of days it takes for the client or internal stakeholders to approve the plan).      

2. Budget & Cost Management Manage project budgets and ensure cost control throughout the project lifecycle. Percentage of projects completed within budget. Budget variance (difference between projected and actual costs, target: minimal variance). Monitor and track expenses, ensuring the project stays within the allocated budget. Cost savings initiated (e.g., negotiation with vendors or resource optimization). Number of cost overruns (target: zero or minimal overruns).      

3. Timeline Management & Scheduling Develop and maintain project schedules, ensuring that deadlines are met. Percentage of projects delivered on time. Milestone adherence (number of project milestones met on schedule). Identify potential risks to project timelines and implement mitigation strategies. Project delay rate (percentage of delays caused by project management issues). Average delay time per project (in days, for delayed projects).      

4. Team Management & Leadership Lead and motivate the project team, including designers, contractors, and vendors. Team productivity rate (measured by work completion versus planned activities). Ensure clear communication and efficient task allocation. Employee satisfaction and feedback (from team members). Number of conflicts or issues within the team (aim for minimal conflicts). On-time task completion by the project team (percentage of tasks completed within the assigned timeframe).      

5. Quality Control & Standards Adherence Ensure that all project deliverables meet the required quality standards, including design, execution, and client specifications. Number of quality inspections conducted (weekly or bi-weekly). Number of defects or issues identified during quality checks (target: minimal defects). Conduct regular site inspections and reviews to ensure quality consistency. Client satisfaction with final design quality (feedback score or survey results). Number of reworks or corrective actions (target: minimize rework).      

6. Client Relationship Management Maintain regular communication with clients, keeping them informed about project progress, challenges, and timelines. Client satisfaction score (measured through post-project surveys or feedback). Number of client escalations (aim for zero or minimal issues). Address and resolve any client concerns or issues promptly. Frequency of client communication (regular updates, meetings, etc.). Rate of repeat business or referrals (percentage of new business from existing clients).      

7. Vendor & Subcontractor Management Manage relationships with external vendors and subcontractors. Vendor performance rating (based on timeliness, quality, and cost). Number of vendor delays or issues (target: minimal issues). Ensure that vendors deliver on time, within budget, and to the required quality standards. Cost efficiency with vendors (negotiated rates and discounts). Number of vendors/subcontractors meeting the project timeline and specifications.      

8. Risk Management & Problem Solving Identify potential risks to the project (e.g., delays, budget overruns, design issues) and proactively manage them. Number of risks identified and mitigated in advance (proactive risk management). Response time to client or team issues (how quickly problems are addressed). Resolve problems and challenges quickly to avoid project disruptions. Number of escalated issues or disputes (target: minimal escalations). Project downtime or disruption rate (measured by time lost due to unresolved issues).      

9. Communication & Reporting Ensure clear, timely, and transparent communication with all stakeholders (clients, team members, vendors, management). Timeliness of project reports (e.g., weekly or monthly reports submitted on time). Clarity and completeness of status reports (measured by stakeholder feedback). Provide regular project status reports and updates to stakeholders. Number of missed communications or updates (aim for zero missed updates). Stakeholder satisfaction with project communication (feedback from clients and internal teams).      

10. Documentation & Administrative Support Ensure that all project documentation is accurate, up-to-date, and well-organized (e.g., contracts, design revisions, budget tracking). Percentage of documentation submitted on time (e.g., contracts, reports, schedules). Accuracy and completeness of project documentation (measured through audits or checks). Maintain a centralized record of all project-related information for future reference. Number of document discrepancies or missing files. Audit score for project documentation (if applicable, e.g., internal or external audits).      

11. Post-Project Evaluation & Handover Oversee the successful handover of completed projects to clients, ensuring satisfaction and addressing any final concerns. Client handover satisfaction (measured through surveys or feedback). Number of post-project issues or complaints (aim for minimal issues). Conduct post-project reviews to evaluate successes and areas for improvement. Time taken for project handover (measured in days after completion). Post-project review completion (percentage of projects reviewed with actionable insights).
