Key Responsibilities:
1. Statutory Compliance Management
· Ensure timely compliance with all applicable labor laws, including:
o EPF, ESI, Professional Tax, Labour Welfare Fund, Gratuity, Bonus, and Minimum Wages Acts
· Prepare and file monthly returns under PF, ESI, and other statutory acts.
· Generate and submit challans, returns, and registers as per statutory requirements.
· Ensure timely deposit of statutory contributions and deductions.
2. Documentation & Record Keeping
· Maintain and update all statutory registers (Form A, B, C, D, etc.) as required under labor laws.
· Keep records of employee attendance, wage sheets, and compliance reports.
· Ensure proper documentation of contractor licenses, registration certificates, and renewals.
· Prepare and maintain compliance documents for client audits and inspections.
3. Coordination with Clients & Government Departments
· Liaise with clients to provide compliance documents and respond to audit queries.
· Coordinate with local labor departments, PF/ESI offices, and other statutory authorities.
· Handle labor inspections, notices, and compliance clarifications.
4. Payroll & Compliance Integration
· Verify and validate employee data for statutory deductions (PF, ESI, PT, etc.).
· Reconcile payroll data with compliance reports.
· Support payroll and accounts teams for compliance-related entries and challans.
5. Audit Support & Reporting
· Assist in internal and external audits (client, statutory, and ISO audits).
· Prepare monthly MIS on compliance status, filings, and pending items.
· Report non-compliance risks and assist in corrective actions.
Key Skills & Competencies:
· Strong knowledge of labour laws and statutory compliance (PF, ESI, PT, Bonus, Gratuity, CLRA, etc.)
· Hands-on experience with PF/ESI portals and online return filing.
· Good knowledge of MS Excel, Tally (for challans), and HRMS systems.
· Excellent documentation and record-keeping skills.
· Ability to handle inspections and coordinate with authorities confidently.
· Detail-oriented, organized, and deadline-driven.
Qualifications & Experience:
· Education: Graduate
· Experience:
o Executive Level: 1–4 years of experience in HR statutory compliance.
o Senior Level: 5–8 years in compliance management within manpower outsourcing, staffing, or manufacturing sectors.
Performance Indicators (KPIs):
· Timely submission of statutory returns and challans.
· Zero non-compliance findings during audits.
· Accuracy of employee statutory data and reports.
· Client satisfaction and timely response to compliance queries.
Work Environment:
· Office-based role with periodic visits to client sites, PF/ESI offices, or labor departments.
· Requires close coordination with HR, Accounts, and Operations teams.
1. MIS Executive
Key Responsibilities:
1. HR Data Management
· Maintain and update employee data (personal, payroll, attendance, leave, etc.) in Excel-based databases.
· Consolidate data from multiple sources (HRMS, biometric, recruitment tools) into unified Excel reports.
· Ensure accuracy, completeness, and confidentiality of all HR data.
2. Advanced Excel Reporting
· Create and manage interactive dashboards and reports using:
o Pivot Tables & Charts
o VLOOKUP, HLOOKUP, INDEX–MATCH
o Conditional Formatting
o Data Validation & Error Checks
o Advanced Filters & Sorting
o Macros (basic automation)
· Prepare monthly HR MIS reports on:
o Headcount & Attrition
o Recruitment & Onboarding Status
o Attendance & Leave Analysis
o Training Hours & Performance Ratings
o Payroll Inputs Summary
3. Data Analysis & Insights
· Analyze workforce data to identify trends (turnover, absenteeism, cost per hire, etc.).
· Support management with ad-hoc analytical reports for decision-making.
· Provide insights to improve HR efficiency and employee engagement.
4. Automation & Process Improvement
· Automate repetitive HR reporting tasks using Excel formulas or macros.
· Develop templates for recurring HR reports (salary, manpower planning, etc.).
· Collaborate with IT/HRMS teams to align Excel reports with system data.
5. Compliance & Documentation
· Maintain accurate employee records for audits and statutory requirements.
· Prepare reports for compliance bodies as per company policy and labor regulations.
Key Skills & Competencies:
· Expert proficiency in Microsoft Excel, including:
o Pivot Tables, Advanced Formulas, Conditional Formatting
o Data Cleaning & Consolidation

o Basic VBA/Macros (preferred)
