Department: Administration & Operations
To ensure the smooth and efficient operation of the housing society by managing day-to-day administration, maintenance, vendor coordination, staff supervision, financial oversight, and resident relations in accordance with the bye-laws and applicable cooperative housing regulations.
Maintain society records, registers, and documentation as per legal and cooperative society norms.
Organize and record minutes of AGM/SGM and committee meetings.
Ensure compliance with RERA, MCGM, Fire, Environment, and other regulatory bodies.
Assist in handling society’s legal matters, property taxes, audits, and insurance.
Oversee collection of maintenance charges, penalties, and dues.
Coordinate with the accountant for monthly billing and annual budgeting.
Monitor income and expenditure; assist in financial audits.
Track vendor payments, staff salaries, and service contracts.
Manage housekeeping, security, garden, plumbing, electrical and maintenance teams.
Supervise attendance, leave, and discipline of all society staff.
Liaise with service providers for AMCs, repairs, pest control, water tank cleaning, etc.
Conduct regular inspections of society premises and infrastructure.
Address maintenance complaints raised by residents.
Ensure timely execution of repairs and preventive maintenance.
Serve as the first point of contact for residents' queries and complaints.
Maintain cordial relations with residents and promote community discipline.
Issue NOCs for sale/rental and manage move-in/move-out formalities.
Issue circulars, notices, and communication as required.
Maintain grievance register and complaint resolution logs.
Prepare monthly reports on society status, expenses, and activities.
Good written and verbal communication (English, Hindi, Marathi preferred)
Administrative and organizational abilities
Knowledge of society bye-laws and cooperative housing regulations
Basic accounting and computer proficiency (Excel, Tally/Society software)
Problem-solving and conflict resolution skills
Graduate in any discipline (preferred: Management, Commerce, or Facility Management)
Experience: 3–5 years in cooperative housing society or facility management
