Key responsibilities
Customer and vendor management: Act as the primary point of contact for clients, manage incoming inquiries via phone and email, and coordinate with vendors and service providers for procurement and maintenance.
Sales and administrative support: Assist the sales team by preparing quotations, processing customer orders and payments, and maintaining sales documentation and client databases.
Service coordination: Schedule and coordinate service and maintenance visits for technicians. Track the availability of spare parts and manage the logistics for dispatching materials to customers.
IT systems coordination: Help monitor and maintain internal IT infrastructure, including software, hardware, and networks. Troubleshoot basic technical issues and escalate complex problems to the appropriate technical staff.
Record-keeping: Maintain accurate and up-to-date records of all sales, maintenance activities, and client information.
Reporting: Prepare and compile sales reports, maintenance reports, and other office documentation using software like Microsoft Excel or Google Sheets.
Desired skills and qualifications
Communication: Excellent verbal and written communication skills are essential for dealing with clients, vendors, and internal teams.
Technical knowledge: A solid understanding of computer hardware, software, and networking concepts is preferred. Familiarity with common operating systems like Windows and macOS is a plus.
Organizational skills: Strong ability to multitask, prioritize, and manage a diverse workload in a fast-paced environment with a keen attention to detail.
Problem-solving: Aptitude for addressing client complaints, resolving operational issues, and finding efficient solutions.
Computer literacy: Proficiency with Microsoft Office Suite (especially Excel), Google Documents, and experience with Customer Relationship Management (CRM) or inventory management software.
Work experience: Previous experience in a similar administrative, coordinator, or sales support role within a computer dealership or system integration company is highly preferred.
