Job Purpose:
The Offshore Office Manager will lead and oversee the India-based support team that provides back-office and administrative services for a UK-based social care company. The role involves managing remote staff, ensuring performance and compliance, maintaining service quality, and acting as the key liaison between the offshore team and UK leadership.
Key Responsibilities:
Team Leadership & Supervision:
Manage, supervise, and support a team of remote administrative and support staff based in India.
Oversee workload distribution, task completion, and quality control across functions such as HR support, scheduling, finance, data entry, and compliance documentation.
Create KPIs and manage regular team meetings, performance reviews based on KPIs, and provide training and coaching where needed.
Operational Management:
Ensure timely and efficient execution of all offshore tasks in alignment with UK operational needs and timelines.
Monitor team productivity, resolve issues, and implement process improvements.
Maintain oversight of shift scheduling to ensure adequate coverage for UK time zones.
Help UK operations manager director and carry out tasks as needed by them (open ended profile for administrative support)
We expect him / her to work as team player on floor when needed along with being team leader in case of process needs.
Coordination with UK Leadership and Regional office
Act as the primary point of contact between the India team and UK stakeholders.
Coordinate with UK managers to align on priorities, workflows, and performance expectations.
Prepare and share regular progress reports, KPIs, and team updates with UK leadership.
Should be able to visit our regional office at Rajkot as and when needed to co-ordinate with team working at Rajkot office.
Compliance & Documentation:
Ensure the team adheres to data protection and confidentiality standards (GDPR-compliant).
Oversee proper documentation, filing, and version control for all offshore operations.
Assist in preparing documentation for audits, inspections, or compliance checks.
Administrative & Systems Oversight:
Ensure all tools, platforms, and communication systems are functioning properly and used consistently across the team.
Support India team in implementation of ATS system for UK Recruitments, monitor implementation and deal for software support for any queries by the team
Co-ordinate software development company of own software for the company and help migration and other implementation of new software.
Provide support with onboarding new offshore staff and managing access to software, training, and documentation.
Key Skills & Competencies:
Proven leadership and team management skills in a remote setting
Excellent communication skills (written and verbal, in English)
Strong organizational and time-management abilities
Familiarity with UK social care operations, compliance, and terminology (preferred)
Comfortable working across time zones with overlapping UK working hours
Qualifications & Experience:
5+ years in office operations, team management, or remote operations (preferably with international clients)
Experience managing teams supporting healthcare, social care, or similar regulated industries is a plus
Bachelor’s degree in Business Administration, Operations, or a relevant field
Experience with tools like Microsoft 365, Google workplace tools, Zoom, and HR/Finance platforms (preferably)
Working Hours:
1.00 pm to 10.30 pm IST which can move by 1 hour on daylight savings.
Reporting Structure:
Reports to UK Operations Manager or Director
Manages India-based remote administrative/support team
