We are seeking an experienced and professional Administration Manager (Female Only) to oversee daily office operations, departmental coordination, documentation, compliance, audits, and administrative governance. The ideal candidate must be proactive, disciplined, and capable of managing multi-functional responsibilities with high confidentiality and efficiency.
Coordinate daily office operations and administrative activities.
Handle pooja/facility arrangements for scheduled events.
Manage travel bookings, transport, accommodation, and event logistics.
Ensure operational readiness for meetings, conferences, and internal programs.
Prepare meeting agendas, documents, and trackers.
Attend meetings, record accurate minutes, and circulate them promptly.
Monitor follow-up actions and ensure completion.
Ensure daily review meetings at 5 PM as per SOP.
Create, update, and implement SOPs across departments.
Monitor departmental compliance, task status, and target achievements.
Maintain organized documentation systems and share regular updates with management.
Manage sensitive communication with strict confidentiality.
Draft professional internal and external communication.
Ensure no unauthorized information exchange between departments.
Review compliance standards as per legal/organizational guidelines.
Act as central point of contact between management, employees, clients, and vendors.
Promote transparent communication and smooth workflow across teams.
Assist leadership in execution, stakeholder management, and administrative support.
Conduct monthly audits to review performance, gaps, and improvements.
Prepare audit reports and submit corrective action recommendations.
Verify bills, track payments, and maintain proper records.
Ensure monthly rental collections before the 10th.
Maintain receipts, documentation, and follow-up updates.
Monitor field staff attendance, work hours, performance, and task completion.
Ensure smooth functioning of reception and appoint alternates when required.
Update and maintain company asset data in OMSW.
Add new assets, ensure proper tagging, and secure record management.
Monitor vehicle data, documentation, and upkeep through OMSW.
Manage calendars, appointments, and priority meetings.
Avoid scheduling conflicts and ensure executives are well prepared.
Assist in planning and monitoring business strategies to achieve targets.
Prepare reports, maintain accurate records, and handle documentation.
Support budgeting, expense tracking, and financial reporting.
Build strong professional relationships with clients and stakeholders.
Identify improvement opportunities and contribute to decision-making.
Ensure timely completion of projects aligned with organizational goals.
Uphold a professional image of the company at all times.
Bachelor’s degree in Business Administration/Management (preferred).
Strong communication skills and fluency are essential.
Excellent organizational, multitasking, and time-management abilities.
Problem-solving, decision-making, and business-oriented mindset.
Proficiency in MS Office and business tools.
Ability to work independently and in teams.
