The Documentation and Admin Executive is responsible for handling all administrative and documentation tasks efficiently to support the smooth functioning of the organization. This role involves maintaining accurate records, managing office documentation, coordinating with departments, and ensuring compliance with company and legal standards.
Prepare, review, and manage company documents including reports, contracts, invoices, and internal memos.
Maintain electronic and hard copy filing systems.
Ensure timely and accurate documentation for audits, inspections, and compliance checks.
Handle confidential information with integrity and discretion.
Coordinate with various departments to gather and verify required documentation.
Manage day-to-day administrative tasks such as scheduling meetings, handling correspondence, and maintaining office supplies.
Organize and maintain office records and databases.
Assist in planning and coordinating company events, travel arrangements, and meetings.
Support HR and finance departments with basic admin work when required.
Act as a point of contact between internal departments and external partners or clients.
Respond to queries and requests for information promptly.
Coordinate with courier services and manage incoming/outgoing documents.
Bachelor’s degree in Business Administration, Commerce, or a related field.
Proven experience (1–3 years) in documentation and administrative roles.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Ability to multitask and prioritize responsibilities effectively.
Familiarity with document management systems is a plus.
High level of integrity and confidentiality.
