Job Summary:
We are seeking a proactive, organized, and personable Receptionist & Administrative Assistant to join our team. This role combines traditional front desk responsibilities with a variety of administrative and office management tasks.
Key Responsibilities:
Reception Duties:
Greet and assist visitors, clients, and employees in a professional and friendly manner.
Answer, screen, and direct phone calls to the appropriate departments.
Manage the front desk area to ensure it is tidy and presentable at all times.
Handle incoming and outgoing mail, deliveries, and couriers.
Maintain visitor logs and issue visitor passes.
Administrative Support:
Assist with scheduling meetings, booking conference rooms, and coordinating calendars.
Maintain and organize office documents, both physical and digital.
Assist in managing office supplies, placing orders, and maintaining inventory.
Support HR and other departments with filing, documentation, and routine admin tasks.
Prepare and format documents, reports, and presentations as required.
Office Coordination:
Monitor and maintain cleanliness and functionality of shared office spaces.
Coordinate with building management or service providers for maintenance or repairs.
Assist with onboarding/offboarding processes for employees (ID cards, desk setup, etc.).
Requirements:
Proven experience as a receptionist, front desk representative, or similar role.
Proficiency in MS Office (Word, Excel, Outlook).
Strong organizational and multitasking skills.
Excellent verbal and written communication abilities.
Professional appearance and demeanor.
Ability to handle sensitive information with confidentiality.
