We are looking for a dynamic and detail-oriented Assistant to Director - Operations to support our Director in overseeing all operational activities across warehouses and head office. The ideal candidate will have strong organizational skills, a keen eye for operational excellence, and the ability to ensure that all key operational tasks and follow-ups are completed accurately and on time.
Operations Follow-up: Track and monitor daily operations tasks and ensure all activities are completed on time across all warehouses and head office departments.
Reporting: Prepare, analyze, and present regular reports on operational KPIs, project updates, and task completion status to the Director.
Coordination: Act as a liaison between the Director and operational teams, ensuring clear communication and smooth workflow.
Task Management: Maintain a structured follow-up system to ensure the timely execution of all directives and action points from the Director.
Process Improvement: Identify gaps in operations and suggest improvements to enhance efficiency and effectiveness.
Documentation: Ensure proper documentation of all operational processes, SOPs, and project updates.
Meeting Support: Organize and support internal and external meetings, prepare agendas, take minutes, and track follow-ups.
Stakeholder Management: Collaborate with internal teams, vendors, and partners to ensure seamless operations.
MBA degree (preferably in Operations, Supply Chain, or General Management).
4 to 6.5 years of relevant experience as an assistant to senior leadership in operations roles.
Proven track record of managing follow-ups and ensuring timely completion of tasks.
Experience in warehouse operations and head office operational management is preferred.
Excellent organizational, time management, and multitasking skills.
Strong communication and interpersonal skills.
Proficient in MS Office (Excel, PowerPoint, Word) and project management tools.
Ability to work independently and handle confidential information with discretion.
