Job Purpose:

The Executive – Procurement is responsible for sourcing, negotiating, and procuring goods and services to meet the organization’s operational requirements. The role involves vendor management, compliance, cost-saving initiatives, and coordination with internal teams to ensure timely and efficient procurement processes.

Key Responsibilities:

Sourcing & Procurement:

• Source and procure goods and services as per organizational requirements.

• Identify and evaluate new vendors and suppliers.

• Negotiate contracts and pricing to ensure optimal cost and quality.

• Analyze vendor rates and facilitate approvals for cost estimates.

• Ensure timely delivery and adherence to quality standards.

Vendor Management:

• Perform due diligence checks for all new and renewing vendors.

• Maintain and update the Vendor Master database.

• Conduct quarterly vendor performance evaluations for RFP/RFQ suppliers.

• Build and maintain strong relationships with suppliers to ensure favorable terms and service levels.

Documentation & Compliance:

• Maintain RFP/RFQ/RFI-related documentation.

• Manage and update Due Diligence and Procurement Trackers regularly.

• Maintain compliance and risk-related data for all procurement activities.

• Stay informed of legal and industry trends impacting vendor agreements.

Reporting & Coordination:

• Prepare and submit Monthly Procurement MIS reports.

• Collaborate with cross-functional teams for upcoming contract renewals.

• Maintain records of purchase orders, contracts, and invoices.

Key Performance Indicators (KPIs):

Qualitative:

• Implementation and tracking of cost-saving initiatives.

• Improvement in procurement process efficiency.

• Promotion of supplier diversity in sourcing.

Quantitative:

• Positive feedback from internal and external stakeholders.

• Accuracy and timeliness of reports and trackers.

• On-time vendor onboarding and contract renewals.

Preferred Credentials:

Education:

• Graduate in B.Com, B.Sc, or BMS

• Freshers are welcome

Competencies:

• Strong verbal and written communication skills.

• Good networking and interpersonal skills.

• Attention to detail and ability to manage documentation.

• Basic understanding of procurement processes and vendor management.
