A Complaints Officer (fresher) description involves receiving, documenting, and resolving customer or client complaints while maintaining a professional and empathetic demeanor . Key responsibilities include investigating issues, coordinating with other departments, providing clear communication, and assisting in identifying trends to improve processes.
Key responsibilities
Handle and log complaints: Receive, document, and track complaints in an organized manner, often using a CRM or other complaint management system.
Investigate issues: Gather evidence and information to understand the root cause of a complaint and identify potential solutions.
Resolve complaints: Work to resolve issues fairly and efficiently, communicating with customers and relevant internal teams.
Provide support: Answer inquiries about complaint status and provide clear, professional communication to all parties involved.
Maintain records: Keep accurate and confidential records of all complaints and resolutions.
Required skills and qualifications
Strong communication: Excellent verbal and written skills are crucial for interacting with customers and colleagues.
Problem-solving: Ability to analyze a situation, generate solutions, and implement a resolution plan.
Interpersonal skills: Patience, empathy, and the ability to handle sensitive situations with tact and professionalism.
