GENERAL DUTIES AND RESPONSIBILITIES:
1. Office Executive
Provide support to the office in administrative functions, which include undertaking messenger tasks, clerical duties, purchasing office supplies, paying bills, scanning, photocopying, banking duties
Provide support to the procurement of project related supplies (e.g., visit the market to arrange samples and quotations to make the procurement cost effective and efficient, and ensure supplies fit for the purpose and address the need of researchers).
Provide IT and Support services
· Managing and coordinating organizational compliant and disciplinary proceedings.
· Manage general administration matters, Ensure factory asset management.
· Ensure all factory and vendor bills payment done on time.
· Manage Travel Desk, transport and logistic for product deployment, Cab & Hotel booking for guest. All data of booking should be in record.
· Responsible for all facility including inventory of office supplies, Production wearable, Pantry grocery Housekeeping, Hospitality, Pest Controlling, Security, Canteen, Logistics, support to the Maintenance, IT and Finance department.
· Front office handling & attending Guest, Sending Mail.
· Responsible for Material Procure and Distribution and Billing with proper tracker.
· Oversee facilities services, maintenance activities and trades persons or vendors (e.g electricians, Plumber, Scrap etc.)
· Perform daily inspection of the facility to ensure HSE (Health, Safety, and Environment) is maintained at the highest level.
· Ensure all company assets are used in appropriate manner and group information is held securely.
· Manage Other responsibilities ask by management if needed further.
· Ensure all company licenses, insurance policies (Inventory, Assets, Vehicles) remain up to date.
· Organize and supervise other office activities (recycling, renovations, event planning etc.)
· Ensure operations adhere to policies and regulations.
2. Office Driver
Provide safe and reliable driving services and ensure that all vehicles are in good conditions.
Driving staff and visitors within the Gujarat and PAN India for official purposes.
Remain updated on Pan India driving regulations, ensure the vehicles are roadworthy, insured, and meet the transport authorities' requirements and documentation.
Monitor daily/weekly vehicle condition/repair needs, maintain travel logbooks, perform vehicle checks, and notify the supervisor of any technical problem.
Performs that all immediate actions formalities required by traffic police and other authorities and insurance company, in the time of any accidents.
Maintain data and documentation related to vehicles protocols, including insurance, pollution free sticker, blue books, license renewal, first aid boxes, logbook, and records of vehicle movement and maintenance.
