Role Overview:

We are seeking a detail-oriented and organized Sales Back Office Executive to support our sales team by managing documentation, processing orders, coordinating with internal teams, and ensuring smooth sales operations. While the role is primarily back office, it may occasionally involve making follow-up calls to existing leads or customers—strictly for coordination or information purposes, not for lead generation or cold calling.

Key Responsibilities:

Sales Support & Coordination

• Process and manage customer orders, quotations, and invoices accurately in the system

• Maintain and update sales records, customer databases, and sales trackers

• Coordinate with the sales team, logistics, and finance departments for order fulfillment and timely dispatch

• Prepare MIS reports, sales summaries, and other documents as needed

Customer Communication (Non-Sales)

• Make occasional follow-up calls to existing leads or customers for document collection, confirmation of details, or update sharing

• Respond to client inquiries via email or phone, redirecting complex queries to the appropriate salesperson

• Send promotional materials or reminders as part of post-sales coordination when required

Documentation & Reporting

• Ensure all sales-related documents (purchase orders, agreements, invoices) are organized and archived properly

• Assist in preparing reports for sales reviews, forecasting, and audits

• Follow up with internal teams to close any pending issues related to sales orders

Key Requirements:

• Bachelor’s degree in Business Administration, Commerce, or a related field

• 0–3 years of experience in a back office, operations, or sales support role (other experiences can be considered on a case-by-case basis)

• Strong written and verbal communication skills (English and regional language if applicable)

• Proficiency in MS Excel, Word, and basic data entry/CRM tools

• Good organizational skills and attention to detail

• Ability to multitask and work collaboratively with cross-functional teams
